Job Summary

The Data Entry Specialist role involves entering data from various sources into the companys computer system for processing and management. A candidate working in data entry will need to efficiently manage a large amount of information that is often sensitive or confidential. The integrity of any company is based on the data they produce which validates the importance of the Data Entry Specialist position. Any information inputted by the Data Entry team will then be used by other people for references or reports.

Functions and Responsibilities

  • Create and complete properties listings with full information from multiple sources of information.
  • Analyze and capture relevant property information from Clients' Web REST APIs implementations.
  • Copywriting, image searching, and data entry execution at:
    • Airbnb
    • Property Management Systems (PMS)
    • Channel Management Software
    • Specific OTAs
  • Properties Listings Generation, ongoing Status, and Reporting.
  • Quality Assurance and Improvements in the content of existing and new listings.
  • Translate content (English/Spanish) of existing and new listings within different Distribution Channels profiles.


Detailed Job Description (workflow)

  • Source and fill-up properties listings information and visual elements from the following sources:
    • Internal G-suite/Dropbox stored documents and spreadsheets.
    • Business Partners provided Information (Clients/Hosts)
    • Online Sources
      • Properties listings published in distribution channels.
      • Social Networks.
      • Search Engines.
      • Authorized Websites.
  • Analyze and capture relevant property information from Clients' Web REST APIs implementations.
    • Knowledge of Web APIs connections on Channels Managers and PMS.
    • Read and extract relevant data about properties in JSON/XML formats.
    • Proficient in using platforms as Postman to obtain information on the listings via API implementations.
  • Copywriting and data entry execution at:
    • Property Management System (Guesty PMS)
  • Creation, fulfillment, and completion of records created or available in our PMS.
  • Use Concise and engaging descriptions of features.
  • Research of Quality Imagery to improve the impact of the listings.
    • Airbnb
  • Multiple Airbnb Profiles.
  • Superhost program compliance quality information.
  • Fulfillment of main amenities and rules applicable to Airbnb.
    • Channel Manager Sources
      • Identify shared information between the PMS and external distribution channels.
      • Adapt or comply with iCal & Dynamic Pricing tools (if any).
    • OTAs
      • Validate the submitted information on end-user OTAs (Booking.com, Expedia, VRBO, etc.)
      • Compliance with OTAs requirements to complete a registration and properties listings data entry and information fulfillment process.
  • Listing Generation Status Reporting
    • Follow the priorities list of listings to be created.
    • Prompt communication in the event of missing information that does not allow for the creation of the register.
    • Report any IT (or Software) errors that occur in the listing creation process, so that it can be corrected immediately.
    • Keep a record of the completion status of the listings.
  • Quality Assurance and Improvements in the content of existing and new listings.
    • Improves content quality by using High-Quality Data and Pictures in all listings to be created.
    • Analyze the content and give recommendations to our team for load photos of unique advantages, rooms, views, surroundings, and nearby attractions.
    • Identify and import features of external successful listings at other Distribution Channels and Travel Agencies to ensure high competitiveness and guests interest attraction.
    • Being aware of specific strategic promotions in external OTAs and web portals.
    • Review all created listings whenever there is a change or update in Distribution Channels and OTAs.
  • Translate content (English/Spanish) of existing and new listings within different Distribution Channels profiles.
    • Be able to accurately translate content based on best match conditions for each type of listing.
    • Publish listings in both languages (Spanish & English) if required.


Qualifications


Education, Experience, Knowledge, and Skills

  • Experience with Travel, Hospitality, and Vacation Rentals Industries. (Required)
  • Experience with Major Online Travel Agencies (OTAs) (Required)
  • Property Management Systems (PMS) knowledge, ideally Guesty PMS. (Preferred)
  • Understands fundamental terms of Data Interchange Formats (JSON/XML) (Preferred)
  • Working Experience with interconnection systems in reservations management software. (Preferred)
  • Own Personal Computer and/or Laptop.
  • Good Internet Infrastructure and Connectivity.
  • Smartphone.
  • Strong PC literacy with solid skills in Microsoft Office, Google Workspace, as well as communication tools such as WhatsApp, Skype, Zoom, Google Meet, etc.
  • Ability to find solutions to a variety of problems of moderate scope and complexity, referring to a group of companies policies and practices for guidance.
  • Organized and able to create multiple timelines, budgets, and schedules.
  • High school diploma or Bachelors degree.
  • Excellent communication skills.
  • Bilingual in Spanish and English, both written and spoken.
