We are looking for someone who can step into the business and contribute quickly.
The ideal candidate has already handled similar responsibilities and does not need extensive training to understand basic business development, operations, process improvement, CRM, and workflow management.
They should be comfortable working directly with business owners and taking ownership of tasks from:
A strong candidate will not simply wait for instructions. They will identify what needs to be done, ask the right questions, research where necessary, take action, and proactively communicate progress or concerns.
The successful candidate should be able to make a meaningful contribution with minimal training and supervision, while continuously looking for ways to improve business growth, processes, systems, and operational efficiency.
Key Responsibilities
1. Business Development & Referral Growth
- Proactively identify and build relationships with NDIS Support Coordinators, Plan Managers, NDIS providers, community organisations, and relevant referral partners across Western Australia.
- Conduct outbound calls, emails, and other professional outreach activities to generate referral opportunities.
- Research and identify new business development opportunities within the NDIS and disability services sector.
- Respond to inbound enquiries and independently qualify prospective participants based on their needs, location, funding, and service requirements.
- Follow up with prospective participants and referral partners to progress enquiries through the pipeline.
- Coordinate appointments, consultations, assessments, and onboarding activities.
- Maintain accurate records of leads, referrals, activities, outcomes, and follow-ups.
- Track the participant journey from initial enquiry through assessment, onboarding, and commencement of services.
- Monitor lead and referral pipelines and ensure follow-ups are completed on time.
- Provide regular reporting on lead generation, referral activity, conversion rates, and business development outcomes.
- Take ownership of assigned leads, referrals, and business development activities with minimal supervision.
- Identify opportunities to improve referral generation, conversion, and participant acquisition.
2. SOP & Process Development
- Develop, document, implement, and maintain detailed Standard Operating Procedures (SOPs) across key business processes.
- Review existing workflows and independently identify gaps, inefficiencies, bottlenecks, and opportunities for improvement.
- Develop clear and practical procedures for:
- Lead intake and enquiry management
- Participant onboarding
- Referral management
- Service commencement
- Internal handovers
- Documentation and record keeping
- Communication and follow-up
- Ongoing service administration
- Ensure processes are documented clearly and consistently for team use.
- Identify when processes or instructions are unclear and proactively ask questions and seek clarification rather than making assumptions.
- Ensure procedures align with NDIS requirements, business policies, and compliance expectations.
- Regularly review and update SOPs as systems, processes, and business requirements change.
- Take ownership of process improvements from identifying an issue through to documenting, implementing, and monitoring the solution.
- Help establish repeatable and scalable workflows as the business grows.
3. Technology, Systems & Automation
- Review and optimise the use of CRM, workflow, scheduling, communication, and other business software.
- Quickly learn new systems and understand how they are used within the business.
- Identify repetitive manual tasks that can be automated or streamlined.
- Set up and maintain digital forms, workflows, templates, tracking systems, and automated notifications.
- Improve the way information flows between systems and departments.
- Support the implementation and optimisation of CRM and other technology platforms.
- Develop automated follow-up processes for leads, referrals, appointments, and participant onboarding.
- Use technology and AI tools to improve productivity, communication, documentation, and workflow efficiency.
- Maintain accurate and well-organised digital records and databases.
- Identify system limitations and recommend practical improvements.
- Independently troubleshoot routine system and workflow issues before escalating more complex matters.
- Train or support team members in adopting improved systems and processes where required.
4. Operational Support
- Work closely with the owners and administration team to identify operational issues and implement practical solutions.
- Coordinate with the Accounts & Administration Officer to ensure smooth handover of new participants and accurate billing information.
- Monitor workflows and ensure key tasks, follow-ups, and deadlines are not missed.
- Assist with preparing reports, dashboards, process documentation, and management updates.
- Identify operational risks, gaps, and inefficiencies and raise them proactively.
- Support the business with other operational and growth initiatives as required.
- Take ownership of assigned operational tasks and follow them through from start to completion.
- Provide practical recommendations to improve efficiency, accountability, and business performance.
Essential Requirements
- Minimum 5 years of relevant professional experience in business development, growth, operations, process improvement, or a similar role.
- Proven hands-on experience independently managing business development, lead generation, referral, operational, and/or process improvement activities.
- Demonstrated experience proactively developing business relationships and generating leads or referrals.
- Strong understanding and hands-on experience with CRM systems and digital workflow management.
- Demonstrated experience developing, implementing, and improving SOPs, processes, and workflows.
- Strong technology skills and the ability to quickly learn, navigate, and optimise new software platforms.
- Experience using automation tools, digital forms, CRM platforms, or workflow systems.
- Strong Microsoft 365 skills, including Excel, Outlook, Word, Teams, and SharePoint.
- Excellent written and spoken English with the ability to communicate professionally with Australian stakeholders.
- Strong analytical, organisational, and problem-solving skills.
- Able to work independently with minimal supervision and limited training.
- Must be a proactive self-starter who can identify what needs to be done and take ownership without waiting for detailed instructions.
- Proactively asks relevant and thoughtful questions when requirements, processes, or information are unclear.
- Able to identify gaps, raise concerns early, and seek clarification from the appropriate stakeholders.
- Able to research solutions and troubleshoot routine issues independently before escalating.
- Comfortable taking ownership of projects and responsibilities from start to finish.
- Able to work Perth business hours.
Experience Level & Working Style
This position requires an experienced, plug-and-play professional with at least 5 years of relevant experience.
The client has limited capacity to provide extensive training and day-to-day supervision.
The successful candidate must therefore be able to:
- Quickly understand the business, its objectives, and existing processes.
- Learn new systems and workflows independently.
- Take ownership of responsibilities shortly after onboarding.
- Ask relevant questions when clarification is required.
- Recognise when information is missing or a process is unclear.
- Avoid making assumptions when requirements are not clear.
- Research and troubleshoot issues independently before escalating.
- Present problems together with practical recommendations or possible solutions.
- Identify opportunities for process and operational improvement without waiting to be instructed.
- Manage multiple priorities and follow-ups independently.
- Communicate proactively with the client and internal stakeholders.
- Follow tasks through to completion without requiring constant reminders.
Desirable Experience
- Previous experience within the NDIS, disability, healthcare, aged care, or community services sector.
- Existing relationships with NDIS Support Coordinators, Plan Managers, providers, or other referral partners.
- Experience with NDIS intake, participant onboarding, or service delivery processes.
- Experience using CRM platforms and workflow automation tools.
- Experience with platforms such as ShiftCare, ClickUp, HubSpot, Salesforce, Monday.com, Zapier, Make, or similar systems.
- Experience creating digital forms and automated workflows.
- Experience using AI tools such as ChatGPT or Claude to improve business processes and productivity.
- Previous experience working with Australian businesses or clients.
- Experience in a start-up, small business, or growing organisation where the candidate has had to work independently and build processes from the ground up.
