Responsibilities:
- Schedule and Appointment Management: Proactively manage and maintain the General Manager's complex calendar, scheduling meetings and appointments efficiently to optimize time and prevent conflicts.
- Document and Information Control: Oversee the handling of sensitive documents and information. This includes preparing reports, gathering and analyzing data, and compiling materials for meetings and presentations.
- Internal & External Coordination: Act as a central point of contact, facilitating seamless communication and coordination between the General Manager and various internal departments, as well as external stakeholders.
- Decision Support: Assist the General Manager by researching information and compiling reports to provide comprehensive and foundational data for informed decision-making.
- Travel Arrangements: Manage all aspects of the General Manager's business travel, including booking flights, arranging accommodation, and preparing necessary travel documents.
- Administrative Oversight: Take charge of and follow up on general administrative tasks, such as managing office supplies, arranging meeting rooms, and independently resolving various administrative issues.
- Organizational Image: Help maintain and enhance the organization's professional image, particularly when coordinating with clients, visitors, and other important individuals.
- Confidentiality & Data Security: Responsible for the secure storage and maintenance of confidential organizational information, especially data related to the General Manager's critical decisions and projects.
Qualifications:
- Bachelor's degree or higher, with a strong preference for a major in Chinese.
- A minimum of 10 years of proven work experience in a secretarial or executive assistant role, ideally supporting senior management.
- Excellent proficiency in Chinese (Mandarin), both spoken and written, is essential.
- Strong command of English, both spoken and written, is a significant advantage.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant computer applications.
- Highly enthusiastic and proactive with a strong work ethic.
- Exceptional coordination and interpersonal skills.
- Possession of a valid driver's license and ability to drive.
