Job Description:
The Operations Coordinator will support a wide range of internal functions essential to project execution, business performance, personnel development, and corporate communications. The ideal candidate will be detail-oriented and proactive, capable of coordinating recruitment and onboarding, developing marketing and proposal materials, supporting resource planning, and contributing to project performance tracking and reporting. This role offers a broad scope and opportunity to help optimize JDSs internal systems, talent development, and business development efforts. The Operations Coordinator will work closely with HR, Marketing, Project Management, and Executive leadership teams.

Responsibilities:
- HR & Resource Coordination
- Manage software systems to optimize use and extract maximum value.
- Coordinate recruitment activities including role profile development, job postings, candidate screening, and interview scheduling.
- Support onboarding streamlining and standardization across departments.
- Assist with project resource scheduling and staff planning needs.
- Marketing & Communications
- Develop, standardize, and maintain marketing materials including project sheets, company brochures, and capabilities presentations.
- Support improvement of deliverables' quality and consistency across business lines.
- Build and maintain a Facilities Experience Matrix and JDS project history database.
- Plan and coordinate JDS-sponsored events, functions, and outreach initiatives.
- Develop and maintain a targeted marketing database, exploring AI-supported solutions.
- Proposal & Bid Coordination
- Coordinate large tender and proposal submissions, including government and reclamation bids.
- Track proposal status, values, and outcomes to monitor win/loss performance.
- Maintain a proposal coordination system that integrates with business development tools.
- Personnel Development Support
- Track professional development progress and training needs across staff.
- Maintain a staff project experience and competency database.
- Support development and maintenance of training resources and internal knowledge hubs.
- Business Performance & Project Systems
- Assist with weekly project metrics reporting (cost vs. budget, progress summaries).
- Coordinate with project managers to support accounts receivable collection efforts.
- Maintain and update company standards, templates, and documentation tools.
- Assist with organizing project folders and documentation structures at initiation stages.
- Review and optimize software subscriptions and licensing costs.
- Support business systems planning and integration across departments.
- Coordinate recruitment activities including role profile development, job postings, candidate screening, and interview scheduling.
Compensation
- Compensation is based on qualifications and experience, with eligibility for performance-based bonuses and company benefits. Hybrid work arrangements may be available depending on project needs.
Work Schedule
This is a full-time position based out of the JDS Vancouver office, with some flexibility for hybrid remote work. Occasional travel or event attendance may be required.
Qualifications/Experience/Education Requirements
- Post-secondary education in Business Administration, Project Coordination, or a related field.
- 3+ years of experience in operations support, project coordination, HR, or business systems.
- Strong organizational and time management skills with attention to detail.
- Experience with proposal development, marketing materials, and recruitment processes.
- Proficiency with Microsoft Office Suite, and experience with databases or resource planning tools (e.g., Manatel) is an asset.
- Excellent interpersonal and communication skills.
