About the job Procurement Assistant

Purpose:

The Procurement Assistant will be responsible for the Administration of general Supply Chain functions and liaising with external and internal stakeholders.

Duties and responsibilities:

  • Liaising with external and internal stakeholders
  • Order management (place, confirm estimated time of arrival, receiving, escalation)
  • Book shipments with freight forwarders
  • Track shipments
  • Track GRVs (Good received vouchers)
  • Action ASNs (Advanced Shipping Notices) with distributor
  • Local manufacturing administration (Order Active Pharmaceutical Ingredients and
  • Packaging and place orders with local manufacturers)
  • Stock control (UPD Distribution Centre snapshot, Inter Branch Transfers (IBT), Cape
    Town Replenishment etc)
  • Weekly stock report (Communication with sales)
  • Create payment requisitions
  • Communication with Quality Assurance (QA) regarding urgent releases
  • Administration of general Supply Chain functions:
  • Assist Tender Manager with Tender applications (Administration)
  • Responding to tender request for quotes
  • Send monthly forecasts to suppliers
  • Tender stock report completion
  • Stock holding analysis
  • Order forecasting
  • Order sign offs
  • Navigating the procurement model
  • Analysing stock levels
  • Reconciling orders placed and received
  • Permit applications
  • Monthly procurement roll-over
  • Creating out of stock & discontinued stock letters
  • Product creation creating product descriptions and codes on fact sheet
  • Create the marketing fact sheet for sales and marketing to use with customers
  • Create the product with the receiving warehouse

Qualifications and experience:

  • Matric (Maths Higher Grade, Accounting)
  • Tertiary degree preferred
  • 1- or 2-years working experience
  • Customer care

  • Microsoft Word
  • Time management
