Job Summary:

The Resource Coordinator is responsible for efficiently managing and coordinating travel arrangements, training schedules, and medical appointments for employees and clients. This role involves frequent communication via texting and emailing, ensuring that all logistics are handled smoothly and timely. The ideal candidate is highly organized, detail-oriented, and excels in multitasking while maintaining a high level of professionalism.

Key Responsibilities:


Travel Booking:
- Coordinate and book travel arrangements, including flights, accommodations, and transportation, for employees and clients.
- Ensure travel itineraries are accurate and communicated clearly to all parties involved.
- Handle last-minute travel changes and emergencies, providing quick and effective solutions.

Training Coordination:
- Schedule and coordinate training sessions, ensuring that all participants are informed and prepared.
- Liaise with trainers, trainees, and venues to confirm availability and logistics.
- Manage training materials and resources, ensuring they are distributed and accessible as needed.

Medical Appointments:
- Schedule and coordinate medical appointments for employees, ensuring timely and convenient arrangements.
- Communicate appointment details and follow-up actions to all relevant parties.
- Maintain confidentiality and handle sensitive medical information with discretion.

Communication:
- Communicate frequently with employees, clients, and vendors through texting and emailing to ensure all arrangements are confirmed and any changes are promptly addressed.
- Maintain clear and concise communication records for all bookings, appointments, and training sessions.
- Provide timely updates and reminders to ensure that all arrangements proceed as planned.

Administrative Support:
- Maintain accurate records of travel, training, and medical appointments, including costs, schedules, and relevant documentation.
- Assist in preparing reports related to resource utilization and scheduling.
- Support other administrative tasks as needed to ensure smooth operations.

Qualifications and Requirements:

- High school diploma or equivalent; an associates degree or higher is preferred.
- Proven experience in travel booking, scheduling, or administrative coordination.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills, with proficiency in texting and emailing.
- Ability to handle multiple tasks simultaneously and prioritize effectively.
- Proficiency in using scheduling and booking software/tools.
- Strong problem-solving skills and ability to work under pressure.
- Experience in a corporate or healthcare setting.
- Knowledge of travel and medical appointment coordination best practices.
- Familiarity with customer relationship management (CRM) systems.
