Position Overview: We are looking for a detail-oriented and highly organized Administrative Virtual Assistant to support our team in managing schedules, handling communication and ensure the smooth running of our daily operations.

Key Responsibilities:
  • Calendar Management: Schedule and coordinate meetings, appointments, and events. Ensure all team members are aware of upcoming commitments and deadlines.
  • Email Management: Monitor and manage email accounts, respond to inquiries, and prioritize communications for the team.
  • Document Preparation: Prepare, edit, and format documents, reports, presentations, and other correspondence as needed.
  • Data Entry: Maintain and update databases, spreadsheets, and other records with accuracy and efficiency.
  • Communication: Serve as a point of contact for internal and external communications. Handle phone calls, emails, and messages professionally.
  • Travel Arrangements: Coordinate travel itineraries, book flights, accommodations, and transportation for team members.
  • Research: Conduct research on various topics as requested, compile data, and present findings in a clear and concise manner.
  • Task Management: Assist in managing and organizing tasks and projects using task management software.
  • Administrative Support: Provide general administrative support, including filing, organizing, and maintaining office supplies and equipment (if applicable remotely).
  • Other Duties: Perform additional administrative tasks as needed to support the team and improve operational efficiency.
Qualifications:
  • Experience: Previous experience as an administrative assistant, virtual assistant, or in a similar role is preferred.
  • Education: High school diploma or equivalent. Additional qualifications or certifications in administration or related fields are a plus.
  • Skills:
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Proficient in Go High Level, Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Slides).
- Ability to multitask and prioritize tasks effectively.
- High level of attention to detail and accuracy.
- Proactive and able to work independently with minimal supervision.

  • Technical Requirements:
- Reliable internet connection.
- Access to a computer with up-to-date software and antivirus protection.
- Familiarity with video conferencing tools (e.g., Zoom, Microsoft Teams).
