Job Summary:
We are seeking a highly organized and detail-oriented Executive Assistant with a strong background in real estate to support our leadership team. The ideal candidate will provide top-notch administrative and operational assistance, ensuring smooth day-to-day operations while managing various real estate-related tasks. This role requires a proactive individual with excellent communication skills, a solid understanding of the real estate industry, and the ability to multitask effectively in a fast-paced environment.
The ideal candidate will have expertise in email marketing and outreach, LinkedIn Sales Navigator, along with experience in managing appointments and booking calls using Mailchimp. This role demands strong communication, organizational skills, and a deep understanding of the real estate industry.
Key Responsibilities:
Manage executive schedules, including appointments, meetings, and travel arrangements.
Draft, proofread, and organize correspondence, reports, and presentations.
Handle confidential information with discretion and professionalism.
Prepare and review contracts, agreements, and legal documents related to real estate transactions.
Assist with property listings, marketing efforts, and client communications.
Conduct market research and provide insights on property values, trends, and opportunities.
Coordinate with agents, brokers, and other real estate professionals to ensure seamless transactions.
Serve as a liaison between the executive team and clients, vendors, and stakeholders.
Maintain positive relationships and ensure prompt follow-ups on inquiries and requests.
Organize and maintain records of transactions, property details, and client information.
Update and manage CRM systems and other databases.
Oversee special projects and initiatives, ensuring timely and successful execution.
Monitor deadlines, milestones, and deliverables for ongoing real estate projects.
Real Estate Support:
Assist with market research, property data analysis, and preparing reports or presentations for client meetings.
Organize and maintain property listings, client databases, and lead management systems.
Coordinate with real estate agents, brokers, and other team members to ensure seamless communication.
Email Marketing and Outreach:
Design and execute email marketing campaigns tailored for real estate clients using Mailchimp.
Develop and maintain targeted email lists for various property segments and audiences.
Monitor email performance metrics and optimize campaigns to increase engagement and conversions.
LinkedIn Sales Navigator:
Utilize LinkedIn Sales Navigator to identify and connect with potential clients, investors, and industry partners.
Create and implement outreach strategies to generate and nurture leads within the real estate sector.
Track LinkedIn activity and provide regular updates on outreach progress and engagement.
Appointment Booking and Scheduling:
Schedule and confirm appointments, property showings, and client meetings using Mailchimp and other tools.
Manage the executive teams calendar, ensuring timely follow-ups and no scheduling conflicts.
Send reminders, coordinate virtual or in-person meetings, and provide necessary documents for scheduled calls or appointments.
Administrative Support:
Maintain accurate records of client interactions, transactions, and marketing efforts.
Prepare contracts, agreements, and other documents as needed for real estate operations.
Handle general administrative tasks, such as email management, task prioritization, and data entry.
Requirements:
Proven experience as an Executive Assistant or in a similar administrative role within the real estate industry.
Strong knowledge of social media platforms (LinkedIn, Twitter, Instagram, etc.) and tools
Experience with graphic design tools (Canva, Photoshop) is a plus.
Strong knowledge of real estate processes, including transactions, contracts, and market trends.
Proficiency in using Microsoft Office Suite, Google Workspace, and real estate CRM platforms.
Excellent organizational and time-management skills with keen attention to detail.
Exceptional verbal and written communication skills.
Ability to work independently, handle multiple priorities, and meet deadlines.
Bachelor's degree in Business Administration, Real Estate, or a related field (preferred).
Licensed real estate professional (a plus).
