We are seeking a highly organized and detail-oriented Operations Support Virtual Assistant to assist a growing drone inspection and videography business. This role focuses on administrative coordination, flight planning preparation, project documentation, scheduling, and client communication.

The ideal candidate is proactive, tech-savvy, and capable of following detailed processes with accuracy. This position will play a key role in helping streamline operations and support business growth by reducing administrative workload.

Key Responsibilities

Administrative & Documentation Support

  • Prepare and complete the initial draft of Job Safety Assessments (JSAs) and other project documentation.
  • Research and gather information required for project preparation, including maps, site information, and airspace data.
  • Maintain organized records and documentation for all projects.
  • Ensure all project files are accurate and up to date.

Flight Planning Support

  • Create and prepare automated flight plans using the DJI Enterprise application.
  • Follow established procedures and checklists to ensure flight plans are ready for review.
  • Coordinate project preparation requirements prior to site inspections.

Scheduling & Client Coordination

  • Manage calendars, appointments, and project schedules.
  • Coordinate client bookings, confirmations, and rescheduling requests.
  • Conduct follow-up communications with clients via phone, email, and messaging platforms.
  • Help maintain strong client relationships through timely communication.

Additional Support Tasks

  • Assist with basic video editing and content organization when required.
  • Support social media scheduling and content management.
  • Perform other administrative and operational tasks as assigned.

Qualifications

Required Skills

  • Previous experience as a Virtual Assistant, Administrative Assistant, Project Coordinator, or similar role.
  • Strong organizational and time-management skills.
  • Exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to work independently and follow detailed instructions.
  • Strong problem-solving abilities and initiative.
  • Proficiency with Google Workspace and Microsoft Office applications.

Preferred Qualifications

  • Experience supporting construction, engineering, surveying, drone, or technical service businesses.
  • Familiarity with DJI software or drone operations (training can be provided).
  • Experience with scheduling software, CRM systems, and project management tools.
  • Basic video editing and social media management experience.
