Warehouse Stock Controller Centurion

Our client in the retail industry is looking for a Warehouse Stock Controller to join the team in Centurion/ Midrand. You will be responsible for enhancing the customer experience by ensuring that all orders / returns are timeously and efficiently delivered within the specific timeframes, oversee the day to day operational requirements of the warehouse functions and facilitate the responsible functions set out by Management. To ensure maintenance of stock levels, maintaining an accurate record of inventory and stock management systems according to set standards.

Scope of the role:

Managing of the distribution / warehouse deliveries, collections, Ibts and returns of all customer orders, Managing the stock management of the Warehouse on a daily basis and making sure stock is saleable and accurate at all times. To collect data using a computerised system to track inventory of stock, ensuring proper amount of inventory is distributed at the right time improving quality control. Performing related tasks as required.

Responsibilities:

Improve Customer Service & Customer Experience

  • Oversee the management, purchase and replenishment of goods to ensure adequate stocks available.
  • Provides a customer service by managing the expectations and delivering orders within a specific timeframe from the pick-up point collection date.
  • Respond and deal timeously to all internal and external queries and complaints by email and telephone, any complaint not resolved after 24 hours must be reported to the Warehouse or Assistant Warehouse Manager.
  • Maintain an accurate and effective record of inventory and stock balances to determine stock supply.
  • Oversee and manage pick-ups ensuring they are distributed within specific timeframes of receipt.
  • Assist clients with collections, inspect the goods and ensure correct dispatch to clients.
  • Ensure returns collected are identified and actioned accordingly.
  • Ensure perfect parcel handling, presentation and receipt to all drivers.
  • Identify problematic parcels as per the perfect parcel presentation in an appropriate manner to the dispatch team so that it can be resolved, and the order distributed.
  • Manage the deployment of fleet resources when in charge of deliveries.
  • Ensure clients expectations are managed and maintain contact with clients and suppliers to establish good working relationships.
  • Manage all daily planning of clients orders and ensure stock is delivered in a presentable manner.
  • Enhance customer satisfaction through effective distribution techniques and proactive error identification.
  • Answering telephone calls, taking messages or dealing with callers.

Stock Management

  • Ensure stock is received correctly and labelled upon receiving using the correct process (vacuum) system and packed away in the correct bin locations.
  • Ensure all stock is received with the correct documentation and in the correct receiving cages.
  • Ensure stock is checked and report any defects.
  • Ensure stock is clearly identified in the racks.
  • Manage bin locations in the warehouse e.g. move stock and identify aged stock.
  • Conduct daily stock counts to eliminate incorrect stock balances.
  • Manage unsalable / damaged stock and notify management of such cases.

Maintain & Improve Efficiencies

  • Maintain a process for returns, manage a defined area for returns/credits, this area will include damaged goods.
  • The correct stock receiving protocols must be followed.
  • Ensure accurate daily weekly reports are provided as per the required deadlines and that all documents are filed correctly.
  • Supervise the maintenance of warehouse and ensure the proper arrangement of stock, labelled and packed away immediately.
  • Provide a daily operational report with figures to Management on the pick-ups, queries and POD.
  • Ensure daily walkabouts are conducted with Supervisors to ensure warehouse standards are adhered to and ensure a clean and safe environment for all employees.
  • Maximise the use of the departments workforce effectively and efficiently.
  • Receive deliveries and oversee the unpacking or stocking of shelves as may be required, as well as the standard of merchandising to ensure appropriate stock presentation.
  • Reconcile delivery notes with purchase orders.
  • Monthly, weekly stock take and reconciliation of stock.
  • Manage and maintain maximum despatch time with drivers and maintain a 0% parcel loss.
  • Plan daily container arrival times and dates and communicate with suppliers.
  • Keep everybody informed of stock problems and strategy going forward, notifying management of any stock related issues.

Operational Requirements

  • Adhere to all operational requirements, tracking defective pieces of inventory, rates of return, rates of purchase and rates of accuracy in order to maintain and improve quality control.
  • Be available to open warehouse at 06:00am daily and as the business requires, and to work on alternate Saturdays and Sundays and to change shifts when required.
  • Responsible for responding to sales enquiries, filing reports, managing employees and providing creative solutions to discrepancies.
  • Keep a complete and detailed database of inventory incoming, outgoing and current as well as supply documentation, and at receiving to personally inspect and confirm supply quality and delivery.
  • Ensure that the processes are followed with security in the warehouse to ensure that no losses occur.
  • Verify receipts and confirm purchase contents and orders are complete.
  • All courier collections must be checked and signed off by Supervisor and or controller and or Manager ensuring the 4 eye principle checked by 2 people.
  • Employees checking courier collections will be held personally liable for any additional courier costs required to rectify incorrect deliveries.
  • Remove inventory from shipment containers and delivery trucks.
  • Ensure supplied stocks meet demand and prevent overstocking and ordering.
  • Ensure correct inventory is loaded into correct delivery trucks, track and ensure deliveries are received.
  • Compile reports inventory and supply balances, make note of damaged inventory.
  • Maintain records of purchases, pricing and other important data.
  • All administration and filing must be kept up to date and completed to standard in agreed timeframes.
  • All discrepancies must be investigated and corrected speedily alerting Management of any concerns.
  • Undertake any other reasonable tasks as may be requested from time to time.

People Management

  • Engage in daily meetings and ensure that company policies and procedures are adhered to and consistently applied, assist Management with any departmental issues.
  • Encourage team work, communication, motivation and efficiency within the team to ensure that a high standard of work is produced and maintained.
  • Support internal clients e.g. other branches on queries, deliveries and customer related issues.
  • Do return to work interviews to determine the reason or nature of absence to minimize and control employee absenteeism.
  • Promote an environment of respect, dignity, trust and honesty at all times holding team members accountable for their actions.
  • Investigate and misconduct related matters and prepare a detailed fact finder report to establish the facts.
  • Create a culture of team spirit working together with fellow colleagues and Management.

Health & Safety

  • Comply with Occupational Health and Safety Act (OHS) requirements to ensure that the Health and Safety procedures are strictly adhered to achieve a zero IOD incident rate.
  • Identify any housekeeping or pest control problems and report these to Management, following up that they are resolved in a timeous manner.
  • Conduct a daily walkabout of the warehouse to identify and document any housekeeping problems.
  • Ensure monthly / quarterly OHASA check sheets and registers are up to date.
  • Identify and report any security breaches or irregularities to Management.
  • Adhere to prescribed distances of Occupational Health and Safety Act for example; no merchandise to cause obstruction of fire extinguishers, emergency exits or walkways for disabled persons making it difficult to see or access them.
