What you'll do:
As a Process Assurance Manager, you will lead the development, implementation and governance of the organizations Quality Management System (QMS) and ISO accreditation program. This role brings together quality assurance, documentation control, data integrity, integration support and cross‑functional collaboration. You will work closely with Operations, Finance and IT to embed structured, scalable and compliant processes across the business.
Key responsibilities for this role includes:
- ISO Framework Development & Implementation
- Assess current systems, documentation and processes across all departments.
- Recommend appropriate ISO standards (e.g., ISO 9001, ISO 14001 as applicable) based on business requirements.
- Develop and document policies, procedures, work instructions and governance frameworks.
- Build a structured QMS and map workflows across operations, sales, customer service, warehouse and IT.
- Create document control and version management protocols.
- Liaise with external accreditation bodies and consultants.
- Develop a project plan and timeline to achieve accreditation; coordinate internal readiness reviews.
- Lead pre‑audit assessments and corrective actions.
- Manage the external audit process end‑to‑end, surveillance audits and recertification cycles.
- Conduct regular internal audits; maintain risk registers and compliance documentation.
- Ensure processes remain aligned with evolving business operations and identify areas of operational improvement.
- Drive corrective and preventive action (CAPA) programs.
- Develop internal training programs on ISO standards and quality compliance.
- Train department heads on process ownership and accountability.
- Build awareness of quality metrics and documentation discipline; support leadership with reporting dashboards and quality KPIs.
- Provide monthly quality, compliance and process reports; maintain compliance calendars and audit schedules.
- Track non‑conformances and corrective actions; support leadership in risk management and governance discussions.
- Assist Finance with operational data gathering, reporting dashboards and ad‑hoc analysis.
- Support OHS documentation and compliance tracking where processes intersect with safety requirements.
- Work closely with Head of Systems on system‑related process improvements and ensure alignment between QMS and business systems.
- Provide administrative and systems support as the organization grows.
- Own and manage ongoing data administration for integration platforms (e.g., PharmX), including:
- Product file maintenance (SKU updates, pricing, stock availability)
- Customer account mapping and synchronization
- Image and content management for platforms requiring enrichment (e.g., Marketplace)
- Monitoring data accuracy between Pronto (ERP) and external platforms
- Support future API/EDI development by documenting current data flows, identifying gaps, working with the Head of Systems and external partners (e.g., PharmX, Pronto) to scope/test integrations, and managing UAT and go‑live checklists.
- Establish SOPs for ongoing data updates to ensure consistency and reduce manual errors; track data quality metrics (e.g., sync failure rates, pricing discrepancies).

- Successful candidates must have:
- 7–10 years experience in quality management, process assurance, compliance, audit or operational governance roles.
- Proven experience leading ISO accreditation (ISO 9001 preferred).
- Demonstrated experience building QMS frameworks from scratch and managing internal/external audits.
- ISO Lead Auditor certification (preferred).
- Experience with data management, EDI/API integrations or platform administration (highly desirable).
- Experience in distribution, logistics, healthcare or regulated environments (highly desirable/advantageous).
- Key competencies: high attention to detail; process‑driven and structured thinker; strong project management; ability to influence cross‑functional teams; strong written documentation skills; analytical and improvement‑focused; collaborative.

- Schedule: 6:00 AM - 3:00 PM PHT
- Work Setup: Work On-Site
