What you'll do:

We are seeking a full-time Project Administrator and Sales Support who will become an integral part of the team, gaining in-depth knowledge of our business, systems, and order processes. The ideal candidate will have experience in a trade business, project management skills, and ability to learn things quickly. Flexibility and adaptability are key, as the role involves handling various customer orders and instructions.

Key responsibilities for this role include:

  • Job Management
    • Enter customer orders into our job management software, Workflow Max (WFM).
    • Select necessary tasks for production, allocate times, and schedule production tasks.
    • Determine product requirements for jobs, order from suppliers, and manage inventory.
    • Create order confirmations and convert them to invoices.
    • Communicate with customers about job progress, organize freight, and ensure invoices are paid.
  • Customer Correspondence
    • Answer customer queries with a thorough understanding of the business and processes.
    • Send quotes and keep the CRM system up to date.
    • Provide excellent written communication in English.
  • System Improvement
    • Develop a deep understanding of WFM to improve reporting on profitability, job costs, and efficiencies.
    • Identify areas for process improvements and implement changes.
  • Miscellaneous Tasks
    • Handle tasks such as stationary orders and database management.
    • Perform various duties to support the diverse nature of the business.

Successful candidates must have:

  • Minimum of 3 years of professional experience in project management and a trade business background is a plus.
  • Proficiency in Microsoft Excel and Microsoft Word.
  • Experience in a small manufacturing or similar business is highly desirable.
  • Excellent attention to detail.
  • Ability to understand and improve systems, not just follow instructions.
  • Willing to work onsite in Alabang, Muntinlupa.
