Role Overview
We are seeking a dynamic, organized, and detail-oriented Assistant Secretary to join our clients corporate team. The ideal candidate will be responsible for providing high-level administrative and secretarial support to the executive management, ensuring seamless coordination across departments, and maintaining the highest standards of confidentiality and professionalism.
Key Responsibilities

Manage daily, weekly, and monthly schedules; coordinate appointments and ensure effective time management for meetings and engagements.

Support the Executive Secretary in recording and preparing minutes of Board, Committee, and Management meetings, ensuring accuracy and timely distribution.

Prepare and maintain official correspondence, reports, and internal memos with high attention to detail.

Maintain comprehensive filing systems and databases for legal, statutory, and administrative documentation.

Liaise with internal departments and external regulatory bodies to ensure proper coordination and submission of required documentation.

Provide general administrative assistance to ensure the smooth functioning of corporate office operations.

Contribute to process and documentation improvements to enhance compliance and efficiency within the secretarial division.
Qualifications & Experience

Diploma or Certificate in Secretarial Studies, Business Administration, or an equivalent qualification (a recognized Secretarial Course is an advantage).

Fresh graduates who have successfully completed a Secretarial or Office Administration course are encouraged to apply.

Prior exposure or academic background in corporate legal, governance, or compliance will be an added advantage.

Excellent communication skills in both English and Sinhala, with the ability to translate meeting discussions from Sinhala to English.

Strong proficiency in MS Office (Word, Excel, PowerPoint, Outlook) with high IT literacy and good typing speed.

Exceptional organizational and interpersonal skills, with the ability to work independently under pressure.
