Role Overview

We are seeking a detail-oriented and analytical Sales Quotation Specialist to support sales quotation preparation, data validation, customer portal updates, product information management, and cross-functional coordination for US and global customers.

The selected candidate will be responsible for gathering and analyzing data, preparing accurate sales quotes, validating product specifications, maintaining quotation records, supporting customer portal activities, and ensuring data accuracy throughout the item and quotation lifecycle. Prior experience is not mandatory, as training will be provided on internal systems.

Key Responsibilities

• Gather, review, and manage product and quotation-related data using internal systems.
• Prepare, submit, and track sales quotations for products supplied to US and global customers.
• Ensure quotations are accurate, complete, and aligned with customer requirements.
• Validate product specifications, packaging details, palletization details, and related information.
• Review quotation data carefully to identify errors, missing details, or inconsistencies.
• Maintain accurate records of quotations, customer communications, updates, and follow-up actions.
• Create, update, and manage item information in customer portals.
• Support customer portal setup activities to ensure smooth transactions and order processing.
• Analyze and resolve data-integrity issues across the item lifecycle.
• Track data from product conception, quotation, purchase commitment, customer setup, production, and finalization.
• Coordinate with internal teams to collect required information and clarify quotation-related details.
• Communicate effectively with cross-functional teams to improve workflow efficiency.
• Support sales, product, operations, sourcing, customer service, and related departments when required.
• Prepare and maintain documentation, process notes, and quotation-related records.
• Develop procedural manuals to standardize processes and improve operational efficiency.
• Identify opportunities for process improvement, automation, and better data accuracy.
• Prioritize tasks effectively while managing changing business requirements.
• Meet deadlines and deliver accurate work in a fast-paced and dynamic environment.
• Work additional hours when required based on specific project demands.
• Maintain confidentiality and accuracy when handling customer, product, pricing, and business information.

Candidate Profile

• Bachelor's degree or certificate in Business, Analytics, Supply Chain, Finance, Data Management, or a related field will be an advantage.
• 1 to 3 years of experience in analytics, quotation management, sales support, data coordination, operations, or a related role will be preferred.
• School leavers or entry-level candidates with strong Excel skills and analytical ability may also be considered.
• Strong proficiency in Microsoft Excel is required.
• Ability to work with Excel functions such as XLOOKUP, INDEX-MATCH, IF function, CONCATENATE, and Macros.
• Strong attention to detail and commitment to accuracy.
• Good analytical, numerical, and problem-solving skills.
• Ability to identify data issues and support continuous improvement.
• Strong English communication skills, both written and spoken.
• Ability to work effectively within a team and communicate across different organizational levels.
• Good organizational and time-management skills.
• Ability to manage multiple tasks, changing priorities, and tight deadlines.
• Ability to work under pressure in a dynamic and complex environment.
• Flexible, collaborative, adaptable, and willing to learn internal systems.
• Ability to work partial Eastern Standard Time hours.
• Background in Consumer-Packaged Goods, direct imports, product coordination, or customer portal management will be an added advantage.
• Positive attitude, accountability, and willingness to support business operations beyond assigned tasks when required.
