Role Overview
We are seeking a detail-oriented and experienced Senior Executive – Human Resources to support payroll administration, talent development, employee evaluation, HR operations, and organizational management within a manufacturing environment.
The selected candidate will be responsible for ensuring accurate payroll processing, maintaining employee and attendance records, coordinating training and performance-evaluation activities, administering employee documentation, and supporting the smooth delivery of day-to-day HR operations.
Key Responsibilities
Payroll Administration
- Manage the non-executive payroll process accurately and within established timelines.
- Process payroll-related updates for employee resignations, terminations, and other employment changes.
- Collect, maintain, and report employee attrition data.
- Update employee information and payroll-related records in the HRIS.
- Review attendance records and complete no-pay clearances before payroll processing.
- Administer employee shift changes and ensure relevant system records are updated.
- Follow up on overtime records and coordinate corrections to attendance and payroll systems.
- Verify payroll inputs and resolve discrepancies with the relevant departments.
- Complete payroll-related system updates and maintain supporting documentation.
- Print, verify, and coordinate the distribution of employee paysheets.
- Maintain confidentiality and accuracy when handling payroll and personal employee information.
Talent Development and Performance Evaluation
- Coordinate training schedules, venues, participants, resources, and other logistical requirements.
- Maintain training records and follow up on employee participation and completion.
- Monitor assessments and evaluations conducted for newly recruited employees.
- Support the identification, selection, and development of Technicians and Group Leaders.
- Coordinate with department heads to facilitate annual employee performance evaluations.
- Maintain performance-evaluation records and follow up on pending assessments.
- Support employee promotion processes in line with approved policies and procedures.
- Coordinate interviews and evaluations for Team Leader and Group Leader promotions.
- Prepare documentation and reports related to employee development, assessments, and promotions.
- Assist in implementing learning and development initiatives aligned with workforce requirements.
HR Operations and Organizational Management
- Maintain accurate records of the organizational structure, reporting lines, and workforce changes.
- Update organizational charts and related HR documentation when required.
- Coordinate executive service letters and other employee correspondence with HR management.
- Support executive payroll updates and attendance administration.
- Organize plant-level employee events in accordance with the approved event calendar.
- Coordinate with internal teams and external service providers for HR and employee-engagement activities.
- Prepare and issue employee service letters, bank letters, salary-confirmation letters, and name-correction letters.
- Process EPF and ETF claim documentation and support employees with related administrative requirements.
- Maintain accurate employee files, payroll records, attendance documents, and statutory records.
- Ensure HR documents are properly filed, updated, and available for audits or management reviews.
- Respond to employee inquiries relating to payroll, attendance, documentation, and HR processes.
- Support the implementation of HR policies, procedures, and operational improvements.
- Prepare HR reports, employee data summaries, and management information when required.
- Perform additional duties assigned by management that are appropriate to the role.
Candidate Profile
- Bachelor's degree in Human Resources, Business Management, or a related field.
- Minimum 2 to 3 years of experience in a similar HR role.
- Experience in payroll administration, attendance management, or HR operations is required.
- Previous experience within the apparel, manufacturing, or industrial sector will be an advantage.
- Good understanding of non-executive payroll processes, overtime, shift administration, and no-pay calculations.
- Experience using an HRIS, payroll system, or attendance-management system.
- Knowledge of employee documentation and EPF and ETF-related administrative processes.
- Exposure to training coordination, performance evaluations, employee assessments, and promotion processes.
- Strong numerical ability and attention to detail.
- Good organizational, coordination, and record-management skills.
- Ability to maintain confidential payroll and employee information.
- Strong written and verbal communication skills.
- Good working knowledge of Microsoft Office applications, particularly Excel and Word.
- Ability to work independently and manage multiple responsibilities within strict deadlines.
- Strong interpersonal skills and the ability to work effectively with employees and department heads.
