Role Overview

We are seeking a proactive and detail-oriented Administration Executive to support workplace services, administrative operations, employee welfare coordination, compliance, and workplace experience within the apparel industry.

The selected candidate will be responsible for managing workplace services such as security, janitorial services, cafeteria, transport, staff welfare activities, records management, cost control, and administrative process improvements. This role requires strong coordination skills, attention to detail, knowledge of labour regulations, and the ability to create a safe, pleasant, and employee-friendly working environment.

Key Responsibilities

Workplace Services & Employee Welfare

  • Design, develop, and support workplace services such as security, janitorial services, cafeteria, transport, and staff welfare activities.
  • Ensure workplace services create a safe, happy, and satisfactory environment for employees.
  • Oversee the management of workplace services to maintain hygiene, safety, and a pleasant employee experience.
  • Address employee concerns and grievances related to workplace services according to agreed service levels.

Administration & Compliance

  • Ensure compliance with statutory guidelines, internal controls, and organizational policies.
  • Maintain accurate records and documentation related to administrative activities.
  • Manage contracts, permits, incident reports, and other administration-related documentation.
  • Ensure confidentiality, integrity, and accessibility of records as per company policies.

Budgeting, Cost Control & Resource Management

  • Develop, monitor, and manage workplace services budgets to ensure optimum utilization.
  • Monitor expenses and identify cost-saving opportunities.
  • Optimize resource allocation across administrative and workplace service functions.
  • Support management with accurate updates related to administrative expenses and service performance.

Crisis Readiness & Process Improvement

  • Stay prepared for crisis and emergency situations.
  • Support the implementation of mitigation and contingency plans.
  • Identify opportunities for process improvements and innovation in administrative operations.
  • Implement best practices and technological solutions to improve efficiency, productivity, and employee satisfaction.
  • Perform any other duties assigned by management for the effective functioning of the department or organization.

Candidate Profile

  • Bachelor's degree in Human Resource Management, Management, or a related field.
  • Professional qualification such as CIPM or equivalent will be an added advantage.
  • Master's degree in a relevant field will be an added advantage.
  • Minimum 1 year of experience in administration, HR administration, workplace services, or a similar role.
  • Strong knowledge of labour regulations and laws.
  • Strong analytical skills with high attention to detail.
  • Excellent communication and interpersonal skills.
  • Good understanding of workplace services best practices.
  • Ability to work independently and as part of a team.
  • Strong conflict resolution and problem-solving skills.
  • Ability to lead, develop, and motivate a team.
  • Professional attitude with the ability to maintain confidentiality and handle administrative matters responsibly.
