Role Overview

We are seeking a proactive and detail-oriented Executive – Human Resources to support payroll administration, recruitment, employee relations, EPF/ETF documentation, HR reporting, policy updates, and compliance-related HR activities.

The selected candidate will be responsible for maintaining accurate employee information for monthly payroll processing, supporting recruitment and induction activities, resolving employee concerns, preparing HR reports, and ensuring HR operations are aligned with company policies, compliance standards, and employee engagement objectives.

Key Responsibilities

  • Support recruitment and selection activities across assigned departments.
  • Coordinate interview scheduling, candidate communication, documentation, and onboarding requirements.
  • Contribute to team member induction programs as a resource person or instructor.
  • Assist payroll processing by providing accurate employee details for monthly salary processing.
  • Administer team member payroll in coordination with the appointed payroll service provider.
  • Maintain accurate payroll records, payroll reports, employee data, and supporting documentation.
  • Ensure timely salary disbursement by coordinating required payroll inputs and approvals.
  • Counsel and support employees on HR and payroll-related inquiries.
  • Prepare and maintain records related to EPF and ETF documentation.
  • Ensure timely submission and processing of EPF and ETF claim forms.
  • Collect HR data, analyze information, and prepare reports, dashboards, and presentations.
  • Prepare and circulate accurate manpower reports to relevant internal and external parties.
  • Maintain sound employee relations through regular communication and employee support.
  • Address grievances related to attendance, absenteeism, remuneration, payroll, and general HR matters.
  • Provide practical and feasible solutions to employee concerns while maintaining fairness and confidentiality.
  • Support employee satisfaction, retention, motivation, and workforce productivity initiatives.
  • Identify HR policies and procedures that require updates or revisions.
  • Support HR policy revisions in line with legal, compliance, and organizational requirements.
  • Ensure adherence to company standards, SOPs, compliance requirements, health and safety guidelines, and 5S practices.
  • Assist in HR projects related to compliance, process improvement, employee engagement, and operational efficiency.
  • Maintain employee files, HR documentation, payroll records, and statutory records accurately.
  • Coordinate with department heads, employees, service providers, and internal teams to ensure smooth HR operations.
  • Perform additional duties assigned by management in line with the role.

Candidate Profile

  • Degree in Business Management, Human Resource Management, or a related field.
  • Professional qualification in Human Resources will also be considered.
  • Reading for a postgraduate qualification will be a definite advantage.
  • Minimum 1 year of experience in a similar HR role.
  • Experience in payroll management will be an added advantage.
  • Previous experience in the apparel, manufacturing, or industrial sector will be preferred.
  • Good understanding of recruitment, onboarding, employee relations, payroll coordination, and HR administration.
  • Knowledge of EPF and ETF documentation and claims will be an advantage.
  • Ability to handle employee grievances with professionalism, confidentiality, and empathy.
  • Strong data-analysis, reporting, and presentation-preparation skills.
  • Good working knowledge of Microsoft Office applications, especially Excel, Word, and PowerPoint.
  • Familiarity with HRIS, payroll systems, or attendance-management systems will be an advantage.
  • Good understanding of HR policies, SOPs, compliance, health and safety, and 5S practices.
  • Strong communication, coordination, and interpersonal skills.
  • Ability to work effectively with employees, department heads, service providers, and management.
  • Excellent attention to detail and ability to maintain accurate records.
  • Strong organizational and time-management skills.
  • Ability to manage multiple HR tasks and meet deadlines.
