About the Role

Our client is seeking a proactive and detail-oriented Executive – Ocean Export to manage end-to-end export operations while ensuring exceptional customer service, operational accuracy, and compliance with international shipping requirements.

The successful candidate will be responsible for coordinating export shipments, managing documentation, liaising with customers and overseas agents, and ensuring seamless shipment execution from booking through final destination.

Key Responsibilities

Export Operations Management

• Coordinate export shipments from booking instruction receipt through final shipment execution.
• Manage ocean export operational activities in accordance with company SOPs and service standards.
• Ensure 100% compliance with customer, vendor, and internal operational requirements.
• Coordinate shipment processing from cargo receipt until delivery at destination.

Customer & Stakeholder Coordination

• Maintain regular communication with customers regarding shipment status and progress.
• Respond promptly to customer inquiries, operational requests, and day-to-day shipment requirements.
• Coordinate with principals, overseas agents, carriers, vendors, service providers, and regulatory authorities.
• Manage customer-specific SOP requirements, approvals, reporting obligations, and special requests.

Documentation & Compliance

• Prepare, review, and process export documentation accurately and within agreed timelines.
• Coordinate issuance of MBL, HBL, and shipment-related documentation.
• Ensure 100% accuracy of export documentation before dispatch.
• Maintain compliance with customs, shipping, and international operational regulations.

Systems & Data Management

• Ensure accurate and timely updates within operational systems.
• Maintain shipment events and operational records throughout the shipment lifecycle.
• Ensure all files are completed, updated, and transferred for costing and finance processing.
• Monitor open export files and ensure timely closure within system timelines.

Financial & Administrative Coordination

• Obtain credit approvals and update costing information as required.
• Coordinate with Finance teams to ensure smooth operational and billing workflows.
• Furnish invoices and debtor outstanding reports to customers within agreed timelines.
• Support collection activities through timely documentation and customer communication.

Record Management

• Maintain organized filing systems and shipment documentation.
• Ensure export records are filed accurately for future reference, review, and audit requirements.
• Maintain operational documentation according to company standards and procedures.

Requirements

• Bachelor's Degree approved by UGC or an equivalent professional qualification with a minimum of 1 year of relevant experience.

OR

• G.C.E. Ordinary Level with 6 passes, including Credit passes for Mathematics and English.
• Minimum 2 passes at G.C.E. Advanced Level or successful completion of a UGC-approved foundation programme.
• Minimum 4 years of relevant industry experience.

Preferred Skills & Experience

• Experience in freight forwarding, shipping, logistics, or export operations.
• Strong understanding of international shipping operations and export procedures.
• Knowledge of customs regulations and export documentation requirements.
• Familiarity with carrier management and freight operations.
• Ability to coordinate effectively with overseas agents, carriers, service providers, and customers.
• Strong organizational and multitasking abilities.
• Excellent written and spoken English communication skills.
• Strong attention to detail and documentation accuracy.
• Ability to work under pressure and manage multiple shipments simultaneously.
• Customer-focused mindset with strong stakeholder management skills.
