Role Overview 

We are seeking a highly organized and detail-oriented Assistant Corporate Administrator to support the delivery of professional corporate secretarial and administrative services across a portfolio of companies. The successful candidate will assist with company administration, regulatory compliance, statutory documentation, stakeholder coordination, and day-to-day corporate governance activities. This role is ideal for an individual with strong administrative capabilities, excellent communication skills, and a keen interest in corporate services, company administration, and legal compliance. 

Key Responsibilities

  • Assist in performing day-to-day company secretarial and corporate administration activities.
  • Support company incorporations and ongoing corporate maintenance requirements.
  • Coordinate and assist in convening Board Meetings, Annual General Meetings (AGMs), and other corporate meetings.
  • Prepare meeting agendas, minutes, resolutions, and related corporate documentation.
  • Draft simple agreements, correspondence, and statutory documents.
  • Liaise with local authorities and regulatory bodies regarding operational and administrative matters.
  • Ensure companies within the assigned portfolio remain compliant with applicable laws, regulations, and statutory requirements.
  • Support the review and maintenance of agreements and statutory audited financial statements.
  • Assist with bank account opening procedures, banking transactions, and fund transfers.
  • Develop and maintain effective working relationships with banks, auditors, regulators, and external stakeholders.
  • Prepare annual filings and coordinate with external auditors and service providers.
  • Work closely with compliance teams to support regulatory and governance requirements.
  • Conduct research and gather information relating to corporate, legal, and regulatory matters as required.
  • Maintain accurate corporate records, statutory registers, and company documentation.
  • Provide administrative support to ensure smooth delivery of corporate services to clients and stakeholders.

Candidate Profile

  • University Degree in Management, Law, or a related discipline.
  • Candidates pursuing a professional qualification will have an added advantage.
  • Fluency in both English and French is essential.
  • Excellent written and verbal communication skills.
  • Strong proficiency in Microsoft Office applications, particularly Word, Excel, and Outlook.
  • Strong attention to detail and commitment to accuracy.
  • Ability to manage multiple priorities and work under pressure.
  • Strong organizational, planning, and analytical skills.
  • Ability to work independently while maintaining high standards of professionalism.
  • Proactive, self-motivated, and capable of taking ownership of assigned responsibilities.
  • Excellent interpersonal skills and ability to work effectively within a team environment.
  • Strong time-management capabilities with the ability to meet deadlines consistently.
