ACCOUNTS ASSISTANT BILLING (SHIPPING/FREIGHT)

Job Summary:

We are seeking a highly organized and detail-oriented Accounts Assistant Billing (Shipping/Freight) to support the Finance team. The primary responsibility of this role is to prepare and dispatch invoices related to the Shipping and Projects & Energy business segments, ensuring correct tariff application and timely billing. This role is crucial for accurate revenue collection, job reconciliations, and maintaining billing records that align with operational and financial standards.

Key Responsibilities:

1. Shipping Disbursement Billing (35%)

• Prepare accurate and timely shipping disbursements within an average lead time of 10 days.

• Verify job files and checklists to ensure all services delivered are correctly billed 

• Dispatch final disbursements with proper documentation and update billing systems.

• Ensure timely receipt of supplier invoices and customize disbursement templates per principal requirements.

2. Projects & Energy Billing (35%)

• Generate invoices for operationally completed Projects & Energy job files.

• Identify uninvoiced jobs, collect corresponding files, and verify that all required documentation is included.

• Coordinate with operations to retrieve any missing data or documentation from Dolphin, Eyeshare, or other systems.

3. Job Reconciliation Support (20%)

• Assist in verifying and reconciling jobs to ensure accurate billing and costing.

• Ensure each billed job reflects all charges correctly, avoiding discrepancies.

4. Customer Query & Dispute Management (5%)

• Respond promptly to customer billing queries or disputes.

• Escalate unresolved issues to the Accounts Supervisor Billing.

5. File Archiving (5%)

• Transfer billed job files to designated SharePoint folders for recordkeeping and future reference.

Key Requirements:

• Prior experience in shipping/freight billing or a similar finance role is preferred.

• Familiarity with systems like Dolphin, and Eyeshare is an advantage.

• Strong attention to detail and data accuracy.

• Excellent communication and coordination skills with cross-functional teams.

• Proficiency in MS Office, especially Excel and Outlook.
