Responsibilities and job content:

  • Organize, direct, and monitor daily activities of front office associates guest relations staff and ( night audit personnel ).
  • Work with senior management to direct, implement and maintain stipulated brand service standards
  • Maintain complete knowledge at all times of daily house count, expected arrivals/departures, scheduled in-house group activities, all room rates, current knowledge of hotel products, special packages and promotions, as well as knowledge of the local area and communicate information to appropriate staff.
  • Initiate development, implementation, and maintenance of programs/processes to enhance guest satisfaction and ensure front office operations are efficient and profitable.
  • Perform guest service staff responsibilities as needed to process guests expediently including but not limited to checking guest into hotel, responding to guest questions, resolving guest problems/complaints, answering the telephone, making guest reservations and checking guests out of hotel.
  • Ensure that guests needs are fulfilled and their stay is as pleasurable as possible; assist with dining, entertainment, or transportation reservations as needed.
  • Assist front office staff with resolution of guest problems/complaints as needed in a timely manner. Communicate with senior management when issues arise.
  • Develop a relationship with regular customers.
  • Attend to reservations and registrations of VIPs personally.
  • Evaluate levels of Guest satisfaction and monitor trends, with a focus on continuous improvement.
  • Ensure regular and VIP Guests are recognized and that the Front Office department operates with a sales attitude and promotes the hotel brand's loyalty scheme
  • Ensure that room allocations are carried out as necessary and with attention to special requests.
  • Ensure that investigations of irregularities and undesirable guests and the checking of room occupancy discrepancies are properly conducted.
  • Maximize room occupancy at best rates and use up-selling techniques to promote hotel services and facilities
  • Monitor the appearance, standards, and performance of the Front Office Team Members.
  • Maintain good communication and working relationships with all hotel departments and ensure smooth flow of information.
  • Prepare Annual Front Office Budget, develop working plans, and other relevant and timely reports accurately.
  • Assign duties and monitor quality of work and ensure staff conform to organizational policies and procedures and safety regulations.
  • Assist senior management with hiring, training, supervising, motivating, and developing front desk staff; manage schedules and workflow.
  • Convene department meetings regularly and ensure communication with all levels of staff.
  • Attend any management meetings as necessary.
  • Maintain the credit policies of the hotel.
  • Maintain the required data on occupancy, Nationalities, Sales and compliments.
  • Supervise the preparation of and finalize all Front Office reports, schedules & requisitions.
  • Prepare staff rosters in keeping with the needs of the organization.
  • Ensure that guest history is updated & maintained.
  • Complete monthly inventories and timely requisitions.
  • Act in accordance with policies and procedures when working with front of house equipment and property management systems
  • Establish KPIs and objectives, policies & procedures for the department.
  • Ensure cleanliness of and maintenance of relevant areas.
  • Comply with hotel security, all health and safety regulations and protocols
  • Have knowledge of all first aid & fire procedures.
  • Ensure that a comprehensive and systematic staff training programmed is instituted and executed and be responsible for staff supervision, motivation & development.
  • Provide day-to-day guidance and oversight of team; identifying problem areas and taking corrective action whilst actively working to promote and recognize performance.
  • Adhere to and ensure that proper hiring procedures and termination procedures are followed.
  • Ensure a professional attitude and proper business attire when on duty.
  • Liaise closely with the Transport Coordinator with regard to food, laundry
  • Deliveries & other guest requirements in order to ensure a smooth operation.
  • All other duties as assigned by the Managing Director

Qualifications 

  • A degree or diploma in Hotel Management or equivalent
  • A minimum of 3 years of Front Office supervisory experience in a hotel, leisure sector.
  • High level of IT proficiency
  • High level of commercial awareness and sales capabilities
  • Experience with managing and developing people
  • Excellent leadership, interpersonal and communication skills
  • Commitment to delivering a high level of customer service
  • Ability to work under pressure with an amiable mannerism portraying the culture of the hotel at all times.
  • Excellent grooming standards
  • Flexibility to respond to a variety of work situations
  • Ability to work on your own and as part of a team
  • Ability to work a flexible schedule and late hours when required. Rotating or multiple schedules may be required to ensure optimum coverage, resulting in night and weekend work.
