Finance Operations Specialist

• Working Hours: 9 a.m. to 6 p.m.
• Working Days: Monday to Friday
• Work Model: Hybrid (2 days in-office [Monday & Wednesday], 3 days remote)
  

Job Description
1. General purpose of the role
- Identify gaps in the current financial processes and controls.
- Implement and document strong processes to mitigate found gaps.
- The role shall ensure financial accuracy, optimize reporting, and contribute to the scalability of
financial operations.

2. Areas of responsibility
To take ownership of financial operations by implementing internal controls and financial processes.
Prove the deliveries to management by providing documentation and accurate financial reporting.

3. Interfaces
- Reports to the C-level management (COO and CEO).
- Works closely with finance, accounting, and operations teams.
- Collaborates with IT and product teams for automation and reporting integration.
- Provides financial insights to management as needed.

4. Deliveries
The Finance Operations Specialist is a new role within our organization. The expectations for the role are
high and we expect a self-propelled resource that has a strong focus on fast deliveries.
- Identify gaps in the existing financial operations process and controls. This covers all financial
operational activity (accounts receivable, accounts payable, budget and forecasting, cashflow
management, internal reporting, and Gift Card funds management (the balance of the gift cards).
- Create, change, and/or omit the current processes to create robust financial operations.
- The role needs to embrace automation and train team members on the new financial workflows
and processes.

See the list of responsibilities below:

.1 Accounts Receivable
Implement a process to ensure correct invoice and collection of payments.
Implement daily reporting mechanisms for accurate financial tracking and accounting.

.2 Accounts Payable
Create a structure to receive invoices and expense receipts in an automated way.
Implement a process where the relevant team members crosscheck and attest the cost, and
where finance processes the payments in time.

.3 Budget creation and follow up
Create and finetune a group budget and forecast, ensuring they align with financial goals and
company strategy.
Implement a process to continuously update the forecast with the AR/AP actuals.
Implement a process to provide monthly summarized reports of the budget vs. Forecast vs.
Actuals.
Identify and report on variances, providing recommendations for adjustments.

.4 Cash flow management
Based on budget, forecast and actual implementation a process that outlines the current cash
availability and the cash flow forecast.

.5 Internal reporting
Develop a structured approach to cross-checking the accuracy of financial reports and controls for
AR/AR, budget/forecast and cash flow.

.6 Gift Card funds management
Defining and documenting financial events throughout the Gift Card lifecycle.
Implement daily reporting mechanisms for accurate financial tracking and accounting.
Develop a structured approach to cross-checking the accuracy of financial reports.
Train relevant team members to handle gift card-related financial tasks.

Experience and Behaviors

Experience of working with and creating and/or tuning financial processes and controls at
enterprise level.
Strong understanding of financial reporting, reconciliations, budgeting, and internal controls.
Experience in processing automation and working with structured financial data.
Ability to challenge and improve financial processes to strengthen internal controls.
Be self-propelled with a strong ability to take ownership of financial operations.
Be eager to make changes that provide structure and that can easily be adopted by the
organization.
Be detail-oriented and feel a personal need to get processes and routines documented.
