Position Overview:
We are seeking a proactive and detail-oriented Operations Manager to establish and optimize systems and processes, ensuring the smooth day-to-day operations of our growing agency. This role is perfect for someone who thrives on creating order from chaos and enjoys exploring new tools and technologies to improve efficiency. You'll work closely with the leadership team to build scalable systems, streamline workflows, and drive operational excellence.

Key Responsibilities:

  1. Process Development and Improvement:

    • Create and implement Standard Operating Procedures (SOPs) for various business functions.
    • Set up and refine business processes to ensure quality and efficiency.
  2. Project and Task Management:

    • Oversee projects and manage deadlines using tools like ClickUp or similar project management platforms.
    • Monitor and track client requests, ensuring timely delivery.
  3. Document and Asset Organization:

    • Organize and maintain company documents and assets in Google Drive.
    • Establish a clear structure for easy access and management of resources.
  4. Administrative Duties:

    • Handle business admin tasks such as expense tracking, invoice management, and emails.
    • Ensure accurate and timely record-keeping and reporting.
  5. Automation and Technology Implementation:

    • Learn and implement automation tools like Make.com or Zapier to streamline workflows.
    • Utilize AI tools like Claude to improve efficiency and enhance processes.
  6. Collaboration and Innovation:

    • Work with the leadership team to identify and implement operational improvements.
    • Continuously explore new technologies and methods to optimize operations.

Who We're Looking For:

  • Excellent Communication: Strong English communication skills, both written and verbal.
  • Experience:
    • Prior experience in business operations and process improvement.
    • Familiarity with project management tools (ClickUp preferred but not mandatory).
    • Previous work with international or US-based companies is a plus.
  • Proactive and Self-Motivated: A self-starter mindset with strong initiative and problem-solving abilities.
  • Tech-Savvy: Interest in using and learning about automation tools and AI technology.
  • Growth-Oriented: Excited about startups, venture capital, and scaling operations.
