Role Overview
We are seeking a detail-oriented and analytical Finance Executive to support financial operations related to vessel port calls, supplier payments, disbursement accounting, financial reporting, and cost control activities. The successful candidate will play a key role in preparing and managing vessel-related financial documentation, ensuring accurate cost allocation, supporting financial reporting, and maintaining strong coordination between Operations, Principals, Suppliers, and Finance teams. This role is ideal for a finance professional looking to build a career within the maritime and shipping industry.
Key Responsibilities
- Prepare and submit Final Disbursement Accounts (FDA) together with all required supporting documentation within agreed timelines.
- Review supplier invoices and operational expenses to ensure accuracy before inclusion in FDAs.
- Verify operational expenses against approved quotations and actual services rendered.
- Monitor outstanding FDAs, customer balances, and follow up on pending recoveries when required.
- Maintain complete and accurate financial records for every vessel call and associated operational activities.
- Process supplier invoices and ensure timely submission for payment approvals.
- Prepare payment requests in compliance with company financial procedures and controls.
- Monitor advances received from principals and reconcile them against actual operational expenditures.
- Support the preparation of monthly financial reports and management information.
- Assist with bank reconciliations, account reconciliations, and financial record maintenance activities.
- Process vendor registrations and maintain vendor-related financial documentation.
- Prepare vessel-wise Profit & Loss statements and support final P&L reporting.
- Support internal and external audits by providing financial records and supporting documentation.
- Coordinate closely with Operations teams to ensure timely preparation and submission of disbursement accounts.
- Maintain strict confidentiality of company financial information, customer data, supplier pricing, banking details, and commercial agreements.
- Ensure confidentiality of all business-sensitive information and maintain high standards of professionalism and integrity.
Candidate Profile
- Professional qualifications such as AAT, CA, ACCA, CIMA (part-qualified or completed) will be preferred.
- Minimum 1+ years of experience in Finance, Accounting, or Ship Agency Disbursement Accounting.
- Previous internship or experience within the maritime or shipping industry will be an added advantage.
- Strong knowledge of Financial Accounting principles and practices.
- Good understanding of Accounts Payable and Accounts Receivable processes.
- Experience in Cost Estimation, Budgeting, and expense monitoring.
- Advanced proficiency in Microsoft Excel and financial reporting.
- Strong documentation and record management skills.
- Good computer literacy across Microsoft Office applications.
- Strong analytical, numerical, and problem-solving skills.
- Excellent organizational and time-management capabilities.
- Basic knowledge of ship agency operations will be an added advantage.
- Ability to work effectively with cross-functional teams and manage multiple priorities.
