Role Overview

We are seeking a detail-oriented and responsible Accounting & Administrative Executive to support billing, invoicing, customer correspondence, and administrative functions within an operational environment. This role requires accuracy, compliance awareness, strong follow-up skills, and the ability to work independently while collaborating with internal and external stakeholders.

Key Accountabilities & Responsibilities

Billing & Invoicing

  • Read, verify, and process invoices to ensure system accuracy on a regular basis.

  • Review job references from invoices pending approval and complete final invoice approvals within defined timelines.

  • Ensure billing and invoicing systems are consistently updated and maintained.

Administration & Documentation

  • Send and follow up customer reminders through the operational system as per defined schedules.

  • Prepare and send correspondence to suppliers, including general information letters, reminders, and rejection notices, as required.

  • Follow up prefunding requirements by coordinating with port call representatives and relevant internal stakeholders.

  • Perform additional accounting and administrative support tasks as delegated, within agreed timeframes.

Personal Development & Collaboration

  • Take responsibility for developing competency in Norwegian terminology relevant to operational and billing processes.

  • Utilize AI tools and translation resources to improve understanding prior to invoice verification.

  • Demonstrate continuous improvement in terminology comprehension to enhance productivity and accuracy.

Health, Safety, Security & Compliance Responsibilities

  • Ensure full compliance with Health, Safety, Security, and Environment (HSSE) policies and procedures.

  • Actively promote a safe working environment by identifying, reporting, and stopping unsafe acts or conditions.

  • Ensure awareness that all employees have the authority and responsibility to halt work if HSSE risks are identified.

  • Comply with corporate compliance policies, including Anti-Bribery & Corruption, Anti-Money Laundering, Whistleblowing, Sanctions policies, and adhere to the Code of Ethics.

Minimum Technical Knowledge & Skills Requirements

Educational Qualification

  • Secondary-level education in accounting, administration, or a related field.

Professional Qualification

  • Relevant work experience in accounting, billing, or administrative support functions.

Communication / Language

  • Professional proficiency in English.

  • Willingness and ability to learn Norwegian terminology.

Computer Skills

  • General proficiency in Microsoft Office applications.

  • Ability to learn and operate internal operational systems.
