Role Overview 

We are seeking an experienced and detail-oriented Senior Specialist – IT Asset & Software Licensing Management to manage and optimize the organization's IT asset and software licensing landscape. The successful candidate will play a critical role in overseeing software asset management (SAM), IT asset management (ITAM), software license compliance, vendor coordination, software deployment support, and governance activities. This role requires a strong understanding of software licensing models, compliance frameworks, asset lifecycle management, software inventory controls, and enterprise software environments. The ideal candidate will work closely with IT teams, Procurement, Finance, HR, vendors, and business stakeholders to ensure efficient utilization, compliance, and optimization of software assets across the organization. 

Key Responsibilities 

Software Asset & License Management

  • Manage and maintain accurate records of software assets, software inventory, subscriptions, and software licenses throughout their lifecycle.
  • Own end-to-end Software Asset Management (SAM) activities including software inventory management, license allocation, license utilization tracking, compliance reviews, and reconciliation.
  • Administer software subscription and licensing platforms such as GitHub, Jira, and other enterprise application licensing portals.
  • Monitor software usage and licensing positions to identify compliance risks, underutilization, over-licensing, and opportunities for optimization.
  • Manage software license renewals and subscriptions while ensuring compliance with contractual obligations.
  • Coordinate software procurement activities and vendor engagements in partnership with relevant internal stakeholders.
  • Maintain audit-ready documentation and evidence relating to software assets, subscriptions, licensing agreements, and compliance records.

Compliance, Governance & Audit Management

  • Ensure compliance with software licensing agreements, internal governance policies, and organizational standards.
  • Support software audits, compliance assessments, and governance reviews.
  • Maintain accurate software asset repositories and licensing records to support audit readiness.
  • Support software compliance initiatives and proactively identify potential compliance concerns.
  • Ensure adherence to established ITAM and SAM frameworks, procedures, and controls.

Asset Management & Operational Support

  • Perform periodic software and asset inventory reconciliation exercises and investigate discrepancies.
  • Coordinate with IT teams regarding application deployment, software installation, troubleshooting, and software management activities.
  • Support local and remote software deployment processes using approved deployment tools.
  • Assist in managing organizational software inventories, application portfolios, and licensing databases.
  • Provide operational guidance and support to teams regarding asset and software license management practices.

Reporting & Process Improvement

  • Prepare regular dashboards and reports on software usage, asset inventory, compliance status, licensing positions, and optimization opportunities.
  • Analyze software consumption trends and provide recommendations for cost optimization and improved utilization.
  • Identify process gaps and recommend enhancements to improve ITAM and SAM operations.
  • Support the development, implementation, and continuous improvement of asset management policies, procedures, and governance frameworks.
  • Provide management with insights and recommendations relating to software licensing strategies and asset management performance.

Vendor & Stakeholder Management

  • Work closely with IT, Procurement, Finance, HR, vendors, and business units to manage software asset and licensing requirements.
  • Coordinate software license renewals, vendor negotiations, and compliance activities.
  • Develop and maintain strong relationships with software vendors and licensing partners.
  • Support issue resolution related to software licensing, subscriptions, compliance, and asset management activities.

Candidate Profile

  • Bachelor's Degree in Information Technology, Computer Science, Information Systems, or a related discipline.
  • 5–7 years of experience in IT Asset Management, Software Asset Management, Software Licensing Management, or IT Operations.
  • Strong hands-on experience with ITAM, SAM, software inventory management, and software license administration.
  • Strong knowledge of software licensing models, software compliance requirements, audit support processes, and software usage tracking.
  • Advanced proficiency in Microsoft Excel, reporting, and software asset analytics.
  • Experience supporting software installation, deployment, troubleshooting, and remote management tools.
  • Strong analytical, communication, vendor management, and stakeholder management skills.
  • Working knowledge of enterprise licensing models from vendors such as Microsoft, Oracle, IBM, Adobe, VMware, Broadcom, Red Hat, AWS, Azure, GCP, Salesforce, Atlassian, and Cisco.
  • Experience working with software subscription platforms and license administration consoles.
  • Understanding of software audit and compliance frameworks.
  • Knowledge of IT governance, compliance, procurement processes, and operational controls.
  • Strong attention to detail with the ability to manage large volumes of software and asset data.

Preferred Certifications

  • ITAM/SAM Certification (ITAM Forum, IAITAM, or equivalent)
  • ITIL Foundation Certification
  • CSAM (Certified Software Asset Manager) or equivalent certification
  • ISO/IEC 19770-1 Knowledge or Certification
  • Microsoft Licensing Certification
  • Training or certifications related to IT Governance, Compliance, or Procurement
