Job Description

We are looking for a highly organized, proactive, and detail-oriented Project Assistant to support project execution across customer and internal initiatives.

This role is focused on coordination, follow-up, documentation, and keeping priorities moving. The right person will help ensure projects stay organized, communication is clear, meetings are productive, and action items are tracked through completion. This is a strong fit for someone who enjoys structure, takes ownership, and can operate effectively in a fast-moving environment with multiple stakeholders.

The role works closely with project leads, operations, technical teams, and other internal stakeholders to support smooth execution and high-quality outcomes. It is not a senior project management role. It is an execution-heavy support role for someone who is strong at organization, communication, and follow-through.

Key Responsibilities
  • Support the planning, coordination, and follow-up of customer and internal projects.
  • Help maintain project timelines, milestones, task lists, and documentation.
  • Schedule meetings, prepare agendas, and ensure the right participants and materials are in place.
  • Take structured meeting notes and track action items to support accountability and execution.
  • Follow up with internal teams and stakeholders to keep deliverables on track.
  • Assist with communication between cross-functional teams, including operations, engineering, AI, and other internal stakeholders.
  • Help prepare status updates, reports, and project-related materials.
  • Organize files, documentation, and knowledge-sharing resources for project activities.
  • Support ad hoc research, coordination tasks, and special projects as needed.
  • Help identify issues, flag risks early, and escalate blockers to the relevant project lead or manager.
Qualifications
  • 1–3 years of experience in a coordination, administrative, project support, or operations support role.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills in English.
  • High attention to detail and ability to manage multiple priorities at once.
  • Comfortable working across teams and following up with stakeholders in a professional way.
  • Proficiency in Google Workspace and Microsoft Office.
  • Familiarity with project management or collaboration tools such as Jira, Asana, Trello, or Notion.
  • Strong sense of responsibility, follow-through, and professionalism.
  • Bachelor's degree or equivalent professional experience preferred.
Good to Have
  • Experience in a startup, SaaS, or technology environment.
  • Experience supporting project managers, operations teams, or senior leadership.
  • Exposure to customer-facing coordination or cross-functional project work.
  • Basic understanding of project workflows, timelines, and reporting.
  • Experience working with international teams.
