About the Role
We are seeking a highly organized, proactive, and dependable Executive Assistant to support senior leadership and help ensure that key priorities move forward efficiently.
This role goes beyond traditional administrative support. The Executive Assistant will track leadership commitments, coordinate with internal teams and external partners, manage sensitive information, and follow up consistently until tasks and initiatives are completed.
The ideal candidate is professional, detail-oriented, comfortable working with senior executives, and able to handle confidential financial, legal, and personnel matters with discretion.
Key Responsibilities
- Track leadership commitments, decisions, and strategic initiatives, and follow up with team members until all action items are completed.
- Maintain clear records of deadlines, responsibilities, and outstanding tasks.
- Serve as the primary day-to-day point of contact for external partners, including lawyers, bankers, accountants, consultants, and other professional service providers.
- Coordinate meetings, appointments, and communications between leadership, internal teams, and external stakeholders.
- Manage complex calendars, scheduling conflicts, meeting preparation, and reminders.
- Arrange domestic and international travel, including flights, accommodation, transportation, and itineraries.
- Draft, review, and manage professional correspondence, documents, presentations, and follow-up communications.
- Organize and maintain confidential financial, legal, personnel, and business records.
- Handle sensitive information with a high level of professionalism, judgment, and discretion.
- Anticipate leadership needs, identify potential issues, and proactively follow up to keep priorities on track.
- Support additional business operations and administrative projects as required.
Requirements
- 3+ years of experience as an Executive Assistant, Personal Assistant, or in a business support or operations role supporting senior leadership.
- Excellent written and spoken English.
- Exceptional organizational, prioritization, and time-management skills.
- Strong and persistent follow-up skills, with the ability to hold stakeholders accountable in a professional manner.
- Proven experience handling sensitive financial, legal, personnel, or confidential business information.
- Strong attention to detail and the ability to manage multiple priorities and deadlines simultaneously.
- Excellent communication and interpersonal skills.
- Ability to work independently, exercise sound judgment, and take ownership of assigned responsibilities.
- Proficiency in calendar management, email correspondence, Microsoft Office, Google Workspace, and related business tools.
- Availability to work during US business hours in the Central Time Zone (CST).
Preferred Qualifications
- Experience working with international or US-based senior leadership.
- Experience coordinating with lawyers, accountants, banks, or other professional service providers.
- Previous experience in a fast-paced, entrepreneurial, consulting, or professional services environment.
