We are seeking a highly organized and proactive Executive Assistant to support the General Manager of a leading global shipping company. This role is instrumental in ensuring seamless operations by managing key administrative functions, coordinating communications, and providing structured support to the General Manager.

The ideal candidate would have at least 4-5 years of relevant experience in Secretarial, Executive, or Personal Assistant roles, or similar. He/she should possess strong communication & interpersonal skills, the ability to coordinate effectively with various departments, and be highly disciplined.

Responsibilities:

  • Manage the collation, preparation, and coordination of reports, presentations, and statistical data for management meetings.
  • Assist in gathering and inputting data into reporting systems such as AOP and Salesforce.
  • Organize and schedule meetings, including preparing agendas and taking minutes when required.
  • Act as a liaison between the General Manager and various internal departments (e.g., Finance, Technical, Crewing) to facilitate efficient information flow.
  • Coordinate logistical arrangements in collaboration with the HR & Admin team.
  • Ensure timely and accurate dissemination of critical information to key stakeholders.
  • Maintain confidentiality and ensure professional handling of sensitive information.
  • Provide comprehensive administrative support, ensuring effective time management and prioritization of tasks.

Qualifications:

  • A Diploma or Higher/Graduate Diploma in Business Administration, Management, Secretarial Studies, or a related field.
  • Minimum 5 years of experience as an Executive Assistant, Personal Assistant, or in a similar administrative role supporting senior management would be preferred.
  • Candidates with prior experience in marine support functions such as technical, crewing, purchasing, or operations who are looking to transition into an Executive Assistant role are also welcomed to apply.
  • Strong interpersonal and communication skills, with a customer service-oriented mindset.
  • Excellent written and verbal communication skills.
  • Highly organized, self-motivated, and able to work independently with strong attention to detail.
  • Proficiency in Microsoft Office Suite and familiarity with corporate reporting tools such as Salesforce is advantageous.
