The Advanced Medical Support Assistant (AMSA) plays a crucial role in providing high-level administrative and clerical support within a healthcare setting. This position requires advanced knowledge of medical administrative processes, excellent customer service skills, and the ability to coordinate care across multiple services to ensure a seamless patient experience.

Key Responsibilities:

  • Schedule and coordinate appointments, follow-ups, and procedures for patients using advanced scheduling software and protocols.

  • Monitor, manage, and update patient records in electronic health record (EHR) systems to ensure accuracy and compliance with privacy regulations.

  • Serve as the first point of contact for patients, families, and providers, delivering excellent customer service both in person and over the phone.

  • Verify insurance coverage, process authorizations and referrals, and coordinate with clinical and administrative staff to resolve scheduling conflicts.

  • Manage incoming calls, emails, and messages efficiently, prioritizing urgent requests and ensuring timely responses.

  • Assist healthcare providers with administrative tasks, including documentation, data entry, and report preparation.

  • Handle complex patient concerns and inquiries with professionalism, escalating issues when necessary.

  • Collaborate with multidisciplinary teams to coordinate patient care and support continuity of services.

  • Provide training and guidance to junior medical support assistants as needed.

  • Ensure compliance with HIPAA and other applicable regulations at all times.

Qualifications:

  • High school diploma or equivalent; an associates degree in healthcare administration or a related field is preferred.

  • Minimum of 2-4 years of experience in a medical office, hospital, or healthcare setting, with at least 1 year in an advanced or lead administrative role.

  • Proficiency in using electronic health records (EHR) and scheduling software (e.g., Cerner, Epic, Meditech).

  • Strong understanding of medical terminology, insurance processes, and patient confidentiality requirements.

  • Excellent organizational, multitasking, and communication skills.

  • Demonstrated ability to handle sensitive information with discretion.

  • Proven customer service and problem-solving abilities.
