The role

As the Executive Assistant you will be a proactive, highly organised, and detail-oriented individual that provides comprehensive support to the Managing Director. This role require a high level of discretion, efficiency, and the ability to manage multiple priorities in a dynamic environment.

Key Responsibilities

Ensure the MD is well-prepared for meetings by organising relevant documents, presentations, and briefings.

Screen and prioritise emails, calls, and correspondence, responding on behalf of the MD when appropriate.

Coordinate and attend meetings where necessary, taking minutes and following up on action items.

Facilitate communication between the MD and other departments, ensuring smooth information flow.

Handle confidential information with integrity and discretion.

Manage expense reports, invoices, and budget-related tasks on behalf of the MD.

Arrange Travel itineraries, including transportation, accommodation, and visa applications.

Organise and coordinate company events, meetings, and offsite engagements as required.

Essential Criteria

Proven experience as a Personal Assistant, Executive Assistant, or in a similar administrative role supporting senior executives.

Experience in managing confidential and sensitive information.

Excellent organisational and time-management skills, with the ability to multitask and prioritise effectively.

Strong written and verbal communication skills.

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management tools.

Ability to work independently, with a high degree of professionalism and autonomy.

Flexibility to adapt to the Managing Directors changing schedule and priorities.

Strong problem-solving skills and attention to detail.

Approachable, personable, and capable of building positive relationships with colleagues at all levels.
