PURPOSE OF THE JOB:

The Executive Personal Assistant provides comprehensive support to the Group Chief Operations Officer (GCOO) and executive team, ensuring effective diary management, stakeholder engagement, administration, coordination of business activities, travel management, and communication support. The role requires a trusted professional who can manage highly confidential information, exercise sound judgement, and maintain exceptional standards of integrity, professionalism, and service excellence.

MINIMUM QUALIFICATIONS AND REQUIREMENTS:

  • Grade 12 / NQF 4 and Secretarial or similar qualification essential.
  • NQF 7 qualification in Business Administration will be advantageous.
  • Minimum 5 years' experience as an Executive Personal Assistant, Senior Personal Assistant, or Office Manager supporting Executive or Senior Management level.
  • Experience within mining, industrial, corporate, or large multi-disciplinary organizations' will be advantageous.
  • Experience supporting multiple senior executives simultaneously.
  • Advanced proficiency in Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Strong report writing, presentation preparation, and document management skills.
  • Experience in minute-taking and coordinating meetings at Executive level.
  • Sound knowledge of office administration, travel coordination, and event management.
  • Strong planning, organising, and prioritisation skills.
  • High levels of integrity, confidentiality, discretion, and professionalism.
  • Excellent interpersonal, communication, and stakeholder engagement skills.
  • Ability to work under pressure and manage multiple priorities simultaneously.
  • Valid driver's license, willingness and ability to travel when required.

DUTIES AND RESPONSIBILITIES:

  • Provide professional executive, administrative, and secretarial support to the GCOO and Executive team.
  • Manage executive diaries, meetings, calendars, correspondence, and information flow.
  • Coordinate Executive meetings, prepare agendas, compile meeting packs, record minutes, and track action items.
  • Prepare and distribute reports, presentations, correspondence, and other business documentation.
  • Coordinate local and international travel arrangements, including itineraries, accommodation, transport, and related administration.
  • Organise events, workshops, conferences, and stakeholder engagements.
  • Ensure the efficient day-to-day operation of the Executive office, including filing, records management, procurement, and invoice processing.
  • Build and maintain effective relationships with internal and external stakeholders while representing the Executive office professionally.
  • Maintain strict confidentiality and ensure compliance with company policies, procedures, and POPIA requirements.
  • Drive administrative excellence through continuous improvement of office systems, processes, and controls
