Personal & Executive Assistant to CEO (Household Manager)
Position Summary
The Personal & Executive Assistant to the CEO (Household Manager) is a highly trusted role responsible for ensuring the Founder/Owner/CEO of PENN FS can operate effectively at work while being fully present with the family at home. This position manages the day-to-day logistics of the CEO's household and family schedule while providing light administrative support related to calendar and email management.The ideal candidate is organized, proactive, detail-oriented, and takes ownership of keeping both home and schedule running smoothly.
Core ResponsibilitiesHousehold & Family Management (Primary Focus)
- Oversee and manage daily household operations to ensure an organized, clean, and efficient home environment
- Handle laundry, light cleaning, and general household upkeep
- Manage family calendar across three schools, activities, and appointments
- Monitor school communications and ensure all deadlines, forms, and events are handled proactively
- Coordinate and schedule children's extracurricular activities, sports, and appointments
- Run errands and manage day-to-day family logistics
Childcare & Transportation
- Coordinate and assist with school drop-offs and pick-ups (primarily youngest child)
- Ensure children are prepared for school and activities (supplies, forms, schedules)
- Support logistics for after-school activities and events
Founder Support (Light Executive Assistance)
- Manage and maintain the Founder's calendar, including scheduling, confirmations, and adjustments
- Monitor email inbox and flag important items, organize messages, and assist with simple responses as needed
- Help ensure the Founder's time is prioritized and protected for highest-value activities
Administrative & Personal Organization
- Organize and track household bills, statements, and important documents (Founder retains payment responsibility)
- Maintain organized digital and physical filing systems
- Assist with personal errands, scheduling, and general coordination
- Proactively identify and solve logistical issues before they arise

- Household runs smoothly with minimal oversight
- No missed school deadlines, activities, or commitments
- Founder's calendar is organized, efficient, and free of conflicts
- Inbox is consistently organized with key priorities clearly flagged
- Founder experiences reduced day-to-day stress and increased ability to focus at work and be present at home
Qualifications
- 2–5+ years in a Household Manager, Personal Assistant, or similar role
- Strong organizational and time management skills
- High level of discretion and trustworthiness
- Clear and professional communication skills
- Ability to manage multiple priorities and adapt to changing needs
- Proactive, detail-oriented, and solutions-focused mindset
- Valid driver's license and reliable transportation
