A specialist medical practice in Vanderbijlpark is seeking to recruit a Medical Receptionist / Practice Administrator to support the day-to-day operations of the practice. This role is ideal for a highly organised, compassionate, and proactive individual who enjoys patient interaction, administrative coordination, and contributing to the growth of a modern healthcare practice. The successful candidate will play an integral role in creating a welcoming, efficient, and patient-centred environment while supporting the ongoing development of practice systems and processes.

Duties and Responsibilities:

  • Welcome patients and visitors in a professional and compassionate manner
  • Manage reception, telephone calls, emails, WhatsApp enquiries, and appointment scheduling
  • Coordinate patient flow and follow-up communication
  • Register new patients and maintain accurate patient records
  • Verify medical aid information and obtain authorisations where required
  • Prepare quotations, consent forms, and patient documentation
  • Process patient payments and issue receipts
  • Maintain accurate, confidential, and POPIA-compliant electronic records
  • Manage correspondence, referrals, reports, and results tracking
  • Coordinate theatre bookings and maintain theatre schedules
  • Liaise with hospitals, anaesthetists, medical aids, and referring healthcare providers
  • Work closely with the external billing bureau and assist with billing-related administration
  • Follow up on account and debtor-related queries where required
  • Manage stock control, procurement, and office supplies
  • Assist with patient information, communication, and administrative workflows
  • Utilise approved digital and AI tools responsibly to improve administrative efficiency and workflow processes
  • Contribute to the continuous improvement of patient experience and practice operations
  • Assist with general administrative and practice support duties as required

Qualification and Requirements:

  • Matric / Grade 12
  • Previous medical receptionist experience and/or Specialist practice experience advantageous
  • Healthcare administration qualification advantageous
  • Strong English communication and computer skills
  • Professional communication and accurate typing ability
  • GoodX experience advantageous
  • Professional presentation and reliable transport essential
  • Proficient in Microsoft Office, Outlook, WhatsApp Business, and online systems
  • Digitally confident and eager to learn new technologies, including AI-assisted administrative tools
  • Afrikaans and Sesotho advantageous

Work Hours:

Monday to Friday, 08h00 – 17h00

Urgent administration may occasionally be handled remotely
