A specialist medical practice in Johannesburg is seeking to recruit an experienced Practice Manager to oversee the operational, administrative, and patient coordination functions of the practice. The successful candidate will work closely with the doctor, clinical team, and in-house billing department to ensure the smooth running of the practice while delivering an exceptional patient experience. This opportunity is ideally suited to an experienced Practice Manager or Senior Medical Administrator from a specialist procedural or surgical environment who can confidently assume the full scope of the role from day one.

Roles and Responsibilities (but not limited to):

  • Manage the consulting diary and coordinate procedure and theatre schedules
  • Schedule new consultations, follow-up appointments, and urgent referrals
  • Manage appointment confirmations, cancellations, and rescheduling
  • Communicate pre-procedure requirements and patient instructions
  • Respond to patient enquiries via telephone, email, WhatsApp, and other communication channels
  • Register patients and maintain accurate electronic patient records
  • Upload referrals, investigations, and supporting clinical documentation
  • Manage consent documentation and coordinate admission and discharge processes
  • Coordinate post-procedure follow-up appointments and continuity of care
  • Obtain medical aid authorisations and assist with clinical motivations where required
  • Liaise with hospitals regarding procedures, admissions, and authorisations
  • Work closely with the in-house billing department regarding short payments, appeals, submissions, and account-related matters
  • Coordinate consent documentation and reimbursement processes where applicable
  • Communicate with hospital wards regarding inpatients and doctor rounds
  • Liaise with referring doctors, laboratories, radiology departments, anaesthetists, and other healthcare stakeholders
  • Act as the first point of contact for patient queries, complaints, and feedback
  • Manage stationery, consumables, and practice supplies
  • Maintain digital filing systems and practice workflow processes
  • Support practice meetings and contribute to workflow improvement initiatives
  • Oversee the day-to-day administrative operations of the practice
  • Assist with implementing and maintaining efficient systems and operational processes

Qualification and Requirements:

  • Matric / Grade 12
  • Minimum 3 years' experience as a Practice Manager, Senior Medical Administrator, or similar role within a specialist private practice
  • Previous experience within a procedural or surgical practice advantageous
  • Demonstrable experience with medical aid authorisations and patient administration
  • Strong understanding of specialist practice operations and patient coordination
  • Experience within a private hospital ecosystem advantageous
  • Strong computer literacy and administrative skills
  • Experience with medical practice management systems advantageous
  • Relevant tertiary qualification in Medical Practice Management, Office Administration, Bookkeeping, or a related field advantageous
  • Comfortable learning and working with digital tools, automation, and workflow systems
  • Excellent written and verbal communication skills
