A specialist Cardiothoracic Surgery practice in Klerksdorp is seeking to recruit a highly organised and professional Medical Practice Coordinator and Clerk. The successful candidate will play a key role in supporting the daily operations of the practice, coordinating patient care pathways, managing administrative processes, and providing professional support to the specialist. This position is ideally suited to an individual who thrives in a fast-paced specialist environment and can manage multiple responsibilities with professionalism and attention to detail.

Duties and Responsibilities:

  • Manage patient appointments, registrations, referrals, and correspondence
  • Maintain accurate patient records and practice documentation
  • Coordinate theatre bookings and maintain theatre schedules
  • Liaise with theatre managers, ICU staff, ward personnel, anaesthetists, physicians, and other healthcare stakeholders
  • Coordinate theatre lists and communicate schedule changes
  • Ensure required documentation and consumables are available for procedures
  • Obtain medical aid authorisations and assist with supporting documentation
  • Liaise with the external billing company regarding billing and account-related matters
  • Assist with coding and practice administration requirements
  • Maintain practice policies, compliance documentation, and governance records
  • Assist with accreditation preparations, audits, and inspections
  • Manage the specialist's professional diary, meetings, conferences, and CPD activities
  • Coordinate work-related travel arrangements, including flights and accommodation
  • Manage professional correspondence and communications
  • Coordinate limited personal administrative support when required
  • Maintain practice systems, online profiles, and administrative workflows
  • Assist with the day-to-day operational management of the practice

Qualification and Requirements:

  • Matric / Grade 12
  • Previous experience in a specialist medical practice strongly preferred
  • Experience supporting a specialist surgeon advantageous
  • Relevant qualification in Medical Administration, Office Administration, Practice Management, or a related field advantageous
  • Experience with medical aid authorisations and specialist practice administration advantageous
  • Strong computer literacy and administrative skills
  • Proficiency in Microsoft Office Suite
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities in a busy healthcare environment
