LEGAL INTAKE & LITIGATION CASE MANAGER

ROLE OVERVIEW

We are looking for a Legal Intake & Litigation Case Manager to be part of our team.

  • He/She is responsible for supporting the firm's litigation practice by coordinating client intake, retainer administration, compliance requirements, and the organization and progression of multiple active and time-sensitive litigation matters.
  • He/She plays a key role in ensuring that client and matter information, documentation, deadlines, tasks, and case records are accurately maintained and proactively followed up throughout the lifecycle of each assigned matter.

MAIN RESPONSIBILITIES

He/She shall perform duties and responsibilities including, but not limited to the following:

Client Intake & Onboarding

  • Coordinate and complete client intake forms and collect relevant client, matter, and billing information.
  • Follow up with clients regarding outstanding information and documentation.
  • Prepare retainer agreements using approved templates and coordinate their execution.
  • Follow up with clients regarding outstanding retainers and facilitate and track the collection of initial retainer funds.

KYC & Conflict Procedures

  • Collect and review client identification and verification information in accordance with applicable requirements and internal policies.
  • Coordinate conflict checks and ensure all required intake and compliance documentation is completed before a file is opened.

Litigation & Case Management

  • Manage and monitor multiple active and time-sensitive litigation matters from file opening through resolution.
  • Maintain a comprehensive understanding of the status, history, key issues, required documentation, upcoming steps, and outstanding action items for each assigned matter.
  • Proactively identify and address required follow-ups to support the timely progression of matters.

Task & Workflow Management

  • Maintain a structured and prioritized daily task list based on procedural requirements, urgency, and upcoming deadlines.
  • Monitor completion of assigned tasks and take proactive steps to prevent unnecessary delays in the progression of matters.

Court Deadlines & Calendaring

  • Track limitation periods, procedural deadlines, court appearances, examinations, mediations, discoveries, and other key dates.
  • Maintain accurate calendars and deadline-management systems.
  • Coordinate reminders and follow-ups with the litigation team.

Client Communication & Follow-Up

  • Establish and maintain proactive and professional communication with clients through telephone, email, and other written correspondence.
  • Respond to client inquiries within established response times.
  • Provide procedural guidance regarding required documentation, upcoming steps, and deadlines.
  • Conduct regular follow-ups to collect outstanding information and documentation and keep clients appropriately informed regarding the status and progression of their matters.

Legal Documentation & Discovery

  • Prepare, format, review, and file court forms, pleadings, motion materials, affidavits, affidavits of documents, notices, requisitions, and other litigation documents under the supervision of clerks and counsel.
  • Assist with documentary discovery, including collecting, reviewing, organizing, coding, and producing documents.
  • Prepare affidavits of documents and schedules, maintain production databases, and coordinate undertakings, refusals, and related follow-ups.

Court Filing & Matter Coordination

  • Coordinate the filing and service of court materials within prescribed deadlines.
  • Communicate with process servers, court offices, and other service providers.
  • Maintain accurate records of filings, service, and related confirmations.
  • Coordinate with clients, opposing counsel, experts, court reporters, mediators, and other third parties.
  • Schedule discoveries, mediations, motions, and other litigation events.
  • Assist with the preparation and organization of hearing, mediation, and trial materials.

Case Records & Reporting

  • Accurately record client and matter information and document material case activities, communications, deadlines, tasks, and developments in Clio.
  • Ensure relevant correspondence, pleadings, evidence, and other documents are securely stored and appropriately organized within applicable client and matter files.
  • Ensure records remain complete and current.
  • Work closely with lawyers, clerks, and other members of the litigation team to support case assessments, strategic reviews, settlement discussions, procedural steps, and file closures.
  • Escalate missed or at-risk deadlines, overdue tasks, client concerns, procedural issues, and workflow inefficiencies to the supervising lawyer or appropriate team member.

REQUIREMENTS

  • Prior experience working in litigation or legal case management is required.
  • Strong written and verbal communication skills.
  • Strong organizational, time-management, and prioritization skills, with the ability to manage multiple active matters and competing deadlines.
  • Demonstrated attention to detail and the ability to maintain accurate, complete, and well-organized client and matter records.
  • Strong client-service skills and the ability to communicate professionally and proactively with clients, lawyers, and other stakeholders.
  • Ability to work independently, exercise sound judgment, and proactively identify outstanding tasks, deadlines, and required follow-ups.
  • Experience with Clio is considered an asset.
  • Must be willing to work at 6th floor Tower 1, Rockwell Business Center Ortigas, Pasig City.
