HRSI is looking for HR and Administration Manager for one of its leading client.

Maintain the Office Decorum
1. Enforce productive behavior and environment by tactfully dealing with exceptions (late arrivals,
too much down time in the office, unprofessional behavior).
2. Enforce business casual dress code (exception only on Friday).
3. Ensure professional conduct by employees by monitoring again idle time and excessive breaks.
4. Conduct refresher training on organizational policies and code of conduct.
5. Monitor and ensure the provided resources and time in the office are used for professional and
business purposes.
Attendance and Leave Management
1. Ensure timely arrival and departure from office - the normal working hours are 9 am – 6 pm,
Monday to Friday.
2. Maintain employee details and other configurations in the Leave Management application.
3. Prepare monthly attendance reports clearly indicating shortfalls, issuing warnings and advice to
out of compliance staff, and advising payroll for required deduction from next months payroll
as per policy.
4. Deal with non-compliance as tactfully as possible to ensure containment of the impact of their
deviant behavior and apply corrective measures without having to resort to disciplinary actions
as a last measure.
Ensure Facility Operations without Interruptions
1. Manage office boy, cleaning, and security staff.
2. Maintain a working relationship with the landlord.
3. Monitor and ensure interruption free operation of critical facilities:
a. Power
b. Connectivity
c. Office equipment
4. Pantry and refreshments – manage the supplies to prevent any wastage or misuse.
5. Manage the office lunch facility and expenses.
6. Maintain up to date inventory of office equipment and accessories.
Talent Acquisition
1. Maintain renumeration packages guidance for different roles as per market situation
2. Maintain contact with selected universities for sourcing fresh graduates
3. Manage up to 3 internships during summer months for final year students from the selected
institutions.
4. Take responsibility for maintaining and reviewing as needed the standard contract terms and
conditions.
5. Place job ads and manage the new resources intake process.
6. Manage the new employee onboarding process from start of employment, to the employee
realizing full productivity in the assigned role.
Performance Management
1. Organizational roles and core job responsibilities – work with line managers and leadership to
conduct reviews at least twice a year to ensure alignment with current team structure and role
objectives.
2. Performance expectations setting – coordination to ensure timely submission and approval of
goals for each performance period.
3. Exceptions record – maintain a log of any individual exceptions to the established behavior
expectations to aid in the performance reviews.
4. Performance Reviews – manage the periodic performance review and annual merit increase
process while ensuring completion of timely performance reviews as per the agreed deadlines
for each performance period.
5. Merit increases – provide guidance for assessing merit increase bands applicable for different
performance levels in calibration with the market norms.
Expenses Management
1. Proactively investigate available options for required services and recommend measures for
realizing better cost/performance value. Implement cost reduction initiatives as per approval.
2. Monitor trends and manage the facility and operations related expenses ensuring they do not
exceed the allocated budgets.
Policies Enforcement
1. Ensure compliance with the organizations policies related to employees behavior, such as non-
fraternization policy, policy against free lancing work during office hours, the code of conduct.
Technical Operations
1. Prepare monthly attendance reports by extracting/downloading the data from thumb scanning,
/online sign-in systems for support in payroll calculations.
2. Manage electronic security and monitoring equipment in the office.
3. Performed assigned tasks for onboarding / offboarding of employees in different internal
systems.
4. Manage internal personnel applications:
a. Leave Management
b. Policies and procedures refresher and acknowledgement.
5. Support technical team by assisting in applications testing based on supplied scripts.
