Requirements:

- Excellent verbal and written communication skills
- High level of professionalism, grooming, and workplace etiquette
- Ability to multitask, prioritize, and maintain accuracy in a fast-paced environment
- Proficiency in MS Office and basic administrative systems
- Polished, confident, and professional with strong executive presence
- Comfortable engaging with senior leadership, board members, and high-profile guests
- Highly discreet with sound judgment and strong interpersonal intelligence
- Organized, detail-oriented, and calm under pressure
- Service-oriented yet assertive in managing priorities and protocols
Responsibilities:
- Act as the primary front-facing representative of the organization, professionally managing reception operations and delivering high-end visitor experience for senior leadership, board members, VIPs, and external stakeholders.
- Manage and govern boardroom and meeting room calendars, ensuring priority allocation, conflict free scheduling, readiness of spaces, and coordination with Admin, IT, and support teams.
- Handle incoming calls, emails, and walk-in inquiries with discretion, clarity, and professionalism, ensuring timely routing, follow-ups, and closure—especially for leadership-related matters.
- Maintain accurate visitor logs, reception records, and access protocols while ensuring confidentiality and compliance with internal standards.
- Coordinate incoming and outgoing mail, couriers, and official deliveries, ensuring traceability and timely execution.
- Provide structured administrative support to Admin & Operations, including documentation, scheduling, and coordination related to vendor services such as stationery, cleaning, and facility support.
- Liaise with internal departments to ensure smooth communication flow, timely resolution of front office dependencies, and effective execution of meetings and day-to-day office administration, while proactively maintaining reception and common areas to leadership standards.
