Position Summary

The Company Secretarial Assistant is responsible for providing a range of company secretarial and administrative support to the Company Secretarial Department, and assist in handling ad hoc jobs in addition to the routine company secretarial matters.

Key Accountabilities

  1. Reporting to the Company Secretarial Supervisor and handles the following tasks:
  • drafting company secretarial documents based on firms standard or precedents to be reviewed by Supervisor
  • attend to filings to be made with the Companies Registry and Inland Revenue Department
  • maintaining the statutory records and updating the company secretarial database (CSA)

2. Assisting in administrative secretarial work including:

  • updating and maintaining electronic filings in systematic manner
  • preparing invoices in connection with clients matters within the team headed by the Supervisor
  • assisting the Supervisor in updating and maintaining the teams clients list

3. Assisting in due diligence matters including:

  • attend to new clients onboarding
  • maintaining and regularly reviewing clients due diligence

4. Performing any other duties as directed.

Head of Company Secretarial Department and other Company Secretarial team members

Qualifications & Knowledge

  • Business College Certificate, Diploma or above, with proven company secretarial knowledge;
  • Preferably with at least 2 years' working experience in company secretarial duties, experience in professional firms, law firm experience is an advantage;
  • HKCGI membership or student membership is an advantage;
  • Basic company secretarial knowledge and able to handle routine company secretarial tasks;
  • Proficiency in CSA software;
  • Working knowledge of Word and Excel, and Chinese Word processing;
  • Quality driven, service oriented and client focused;
  • Ability to communicate in an effective manner with colleagues and clients (both verbal and written);
  • Capacity to deal with work pressure, maintain energy levels of self and team, and commitment to on-going personal development;
  • Positive and pro-active, with enthusiasm to learn and the ability to work with a team;
  • Flexibility with regard to working hours and willingness to work overtime when required
