About This Role:
We are hiring a Sales Operations Lead to support a fast-growing, high-ticket eCommerce company specializing in custom outdoor kitchens. This is the operational quarterback for every deal from post-consultation through close and handoff to production. You step into a documented pipeline, a defined proposal workflow, and clear accountability lines. Your job is to run the system every day with speed, accuracy, and zero deals falling through the cracks.
This is not an administrative role. You own execution end-to-end across the pipeline, hold sales managers to their part of the process, and keep deals moving on a 24-hour proposal SLA.
Key Responsibilities:
Run the full sales pipeline from post-consultation through close, driving deals through each stage on schedule
Deliver accurate, client-ready proposals within 24 hours of each design consultation
Support 1 to 2 sales managers handling approximately 6 consultations per day each
Review call recordings and design notes to pull the details needed for each proposal
Build estimates, format proposals, and send for sales manager review and approval
Maintain daily CRM hygiene in Pipedrive: clean data, current next steps, no stale deals
Coordinate proposal revisions, scope changes, and pricing updates with design and manufacturing
Hand off sold projects into the Production & Logistics workflow with full setup and assigned tasks
Flag stale deals, aging tasks, and SLA risks before they become problems
Hold sales managers accountable to their part of the workflow without owning the customer relationship
Coordinate across sales, manufacturing, logistics, and customer support to keep projects moving
Manage multiple deals simultaneously without dropping accuracy or turnaround

Pipedrive (primary CRM, daily use)
GetAccept (proposal delivery)
Canva (proposal formatting)

Loom for async walkthroughs
Spreadsheet tools (Google Sheets / Excel)
Qualifications:
3 to 5+ years of freelancing or remote work experience
2 to 4+ years in Sales Operations, Project Management, Estimation, or a similar execution-heavy role
Excellent written and verbal English communication (C1 or C2 level)
Experience supporting high-volume or consultative sales environments
Strong CRM and pipeline management experience
Highly organized with strong time management and prioritization
Strong attention to detail under tight deadlines
Comfortable holding peers and senior teammates accountable to process
Able to operate inside an established system and execute with minimal supervision
Nice to have:
Experience with estimating, quoting, or proposal building
Familiarity with layouts, floor plans, or product configurations
Experience supporting high-ticket or consultative sales processes
Prior Pipedrive experience
Shift Schedule:
Monday to Friday, 9:00 AM to 5:00 PM US Eastern Time
