About This Role:
We’re looking for a highly organized and proactive Executive Assistant to support the field sales efforts of a growing team. This role will be responsible for sourcing and coordinating conference appearances, handling all travel and event logistics, and supporting lead-generating sales events like curated dinners and happy hours. You won’t be closing deals, but your work will directly impact sales success by ensuring smooth operations, well-planned activations, and high-quality prospect experiences. Key Responsibilities:
Research and shortlist weekly conferences with strong sales or networking potential
Vet events for lead generation value and provide recommendations
Book travel: conference tickets, flights, and hotels
Coordinate small-scale sales events (happy hours, curated dinners)
Source and reserve venues that support client-facing sales goals
Set up Luma RSVP pages and manage guest list tracking
Coordinate event logistics and timelines
Maintain task visibility using a project management tool
Communicate with vendors and venues professionally
Ensure all sales-related field events are well-executed and on budget

Qualifications:
At least 3-5 years of freelancing experience
Strong English communication skills (C1C2 English proficiency required)
Solid background in event coordination or executive assistance
Familiarity with supporting sales teams or customer-facing events is a plus
Highly organized and detail-oriented
Shift Schedule:
Monday to Friday, flexible working hours with required availability for a daily stand-up between 9AM to 5PM US PST.
