Position Overview
HireNow Staffing is partnering with a nationally recognized law firm to identify a detail-driven Information Management Specialist for its Minneapolis office. This role plays a critical function in safeguarding client and firm data integrity through precise file tracking, records coordination, and compliance with established information governance standards.
The ideal candidate demonstrates proven professional stability, strong organizational discipline, and the ability to manage both physical and electronic records in a structured, policy-driven environment. Candidates with frequent short-term roles will not be considered.
Core Responsibilities
Records & File Management

Maintain accurate tracking of physical and electronic records using firm-approved systems.

Index, label, and organize files and containers to ensure audit-ready accuracy.

Coordinate file transfers between offices, departments, and approved third parties.

Process file retrieval, storage, and destruction requests in accordance with firm policies.
Information Governance & Compliance

Ensure adherence to internal records retention schedules and compliance standards.

Review physical and electronic materials prior to storage or disposition.

Monitor and maintain organized storage areas to prevent data loss or misfiling.

Support audits and internal reviews related to information management procedures.
Operational Support & Reporting

Generate reports and activity metrics related to records management workflows.

Track barcoding, container movement, and document indexing activity.
-
Identify opportunities to streamline processes and improve efficiency.

Assist with internal training initiatives related to file tracking and compliance standards.
Cross-Department Collaboration

Partner with attorneys, legal assistants, and administrative teams to support case file accuracy.

Respond promptly to file-related inquiries and time-sensitive requests.

Maintain professional discretion when handling confidential and sensitive information.
Required Qualifications (Non-Negotiable)

Bachelor's degree OR minimum 2–3 years of professional services or administrative experience.

Demonstrated proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

Strong written and verbal communication skills.

High attention to detail and organizational accuracy.

Ability to manage multiple priorities while meeting deadlines.

Proven employment stability (candidates with frequent short-term positions will not be considered).

Authorized to work in the United States without current or future sponsorship.

Ability to work hybrid onsite in Minneapolis, MN.
Preferred Qualifications (Strongly Emphasized)

Experience in records management, information governance, or file tracking.

Background in a law firm or other professional services environment.

Familiarity with records tracking platforms such as iCompli or comparable systems.

Experience supporting compliance-driven or policy-regulated environments.
