Position Overview
HireNow Staffing is partnering with a respected law firm in Naples to identify a seasoned Trusts & Estates Paralegal with deep experience in Florida estate and trust administration. This role supports attorneys handling sophisticated probate matters, high-net-worth estate settlements, and federal transfer tax filings.
This position requires a candidate who can independently manage administration files from initial intake through final distribution with minimal oversight. Employment stability is critical. Candidates with frequent short-term positions will not be considered.
Core Responsibilities
Estate & Trust Administration

Oversee the administration process from asset identification and valuation through final distributions.

Coordinate with financial institutions, accountants, appraisers, and beneficiaries to collect and verify asset information.

Prepare detailed inventories, asset schedules, and fiduciary accountings using data from multiple sources.

Monitor creditor periods, statutory notice requirements, and distribution timelines.
Probate & Court Filings

Draft probate pleadings, petitions, and related court documents for attorney review.

Manage Florida probate e-filing procedures and ensure strict adherence to court rules.

Track and calendar all filing deadlines and procedural milestones.
Tax & Compliance Support

Assist with preparation and organization of federal estate and gift tax returns (Forms 706 and 709).

Support fiduciary income tax return preparation (Form 1041) by compiling documentation and coordinating with tax professionals.

Maintain organized records to ensure compliance with federal and state requirements.
Client & Professional Communication

Serve as a key liaison between attorneys, fiduciaries, beneficiaries, and third-party professionals.

Respond to routine client inquiries with professionalism and discretion.

Maintain confidentiality and sensitivity when working with families during estate administration.
File & Workflow Management

Maintain organized physical and electronic files.

Use legal and tax software platforms to track progress and maintain documentation accuracy.

Proofread all documents for accuracy, formatting, and compliance prior to submission.
Required Qualifications (Non-Negotiable)

Minimum 5 years of Florida estate and trust administration experience.

Direct hands-on experience with Forms 706, 709, and 1041.

Working knowledge of Florida probate procedures and electronic filing systems.

Formal paralegal training (paralegal certificate, associate's degree, or equivalent education).

Advanced proficiency in Microsoft Office (Word, Excel, Outlook).

Demonstrated employment stability with consistent tenure in prior roles.

Authorized to work in the United States without current or future sponsorship.

Ability to work hybrid in Naples, FL as required.
