Document Controller Supervisor | Kempas

Company Background:
A leading manufacturer of prefabricated modular data center solutions, specialize in the data center and power systems industry. With R&D facilities in Shanghai and high-end manufacturing plants in Shanghai and Malaysia, it delivers innovative solutions for hyperscale data center projects globally.

Key Responsibilities:

• Manage and maintain all project documentation, including engineering drawings, RFIs, technical queries, material submissions, meeting minutes, and correspondence.
• Ensure proper document registration, distribution, filing, version control, and traceability in accordance with project requirements.
• Maintain document control systems, databases, logs, and approval tracking records.
• Coordinate document submissions and monitor review/approval status with consultants, PMC, and clients.
• Distribute approved and commented documents to relevant project stakeholders and maintain accurate records.
• Support communication between project teams, consultants, and external parties by facilitating document coordination and language translation when required.
• Prepare and maintain bilingual/trilingual document lists, meeting minutes, and approval records.
• Assist in organizing project documentation for meetings, audits, and handover processes.

Job Requirements:

• Diploma or Bachelor's Degree in Engineering, Construction Management, Business Administration, or a related field.
• Minimum 3 years of experience in document control within construction, engineering, infrastructure, or data center projects.
• Familiar with engineering documentation, drawings, material submittals, RFIs, and document management systems.
• Strong organizational skills with attention to detail and document accuracy.
• Proficient in Microsoft Office and document management software.
• Able to communicate effectively in English and Mandarin; Malay is an added advantage.
• Experience working with PMC, consultants, or multinational project teams is preferred.
