Job Summary:
We are seeking a highly organized and proactive Executive Assistant to support the senior leadership team at our prestigious law firm. The ideal candidate will possess excellent communication skills, a keen attention to detail, and the ability to manage multiple priorities in a fast-paced environment. This role is crucial in ensuring the smooth operation of the executive office, providing comprehensive administrative support, and acting as a liaison between the executive team and internal/external stakeholders.
Key Responsibilities:
- Administrative Support:
- Manage and maintain executives schedules, including appointments, meetings, and travel arrangements.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Coordinate and facilitate meetings, including agenda preparation, minute-taking, and follow-up on action items.
- Handle incoming and outgoing communications on behalf of the executive team, ensuring timely and accurate responses.
Project Management:
- Assist with the planning and execution of special projects and events.
- Monitor and report on project progress, providing updates to the executive team.
- Coordinate with various departments to ensure project deadlines are met.
- Client and Stakeholder Relations:
- Serve as the primary point of contact for internal and external stakeholders.
- Handle confidential and sensitive information with discretion.
- Facilitate communication between the executive team and clients, partners, and other stakeholders.
Financial Administration:
- Assist with budget preparation and expense tracking.
- Process invoices, expense reports, and reimbursements.
- Liaise with the finance department to ensure accurate financial record-keeping.
Qualifications:
- Bachelors degree in Business Administration, Law, or a related field preferred.
- Minimum of 2 years of experience as an executive assistant, preferably in a law firm or legal environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with legal software.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- Ability to handle confidential information with integrity and professionalism.
- Proven ability to work independently and as part of a team.
- High level of attention to detail and accuracy.
- Flexibility to adapt to changing priorities and deadlines.
Preferred Skills:
- Knowledge of legal terminology and processes.
- Experience with project management software.
- Proficiency in other languages.
