Role Overview
The Reservations Executive plays a key role in ensuring the efficient operation of the Reservations Department. Reporting to the Sales & Marketing Manager, this role involves the accurate and timely management of all bookings and data entry, with a focus on accessibility for all departments via the Hotels Property Management systems. Additionally, the Reservations Executive will work closely with the Sales & Marketing Manager to boost revenue from both local and foreign bookings, ensuring revenue targets are met.
Key Responsibilities
- Booking and Data Management: Ensure all bookings, rooming lists, and supplementary services are processed accurately and efficiently.
- Team Leadership: Lead the reservations team in room allocation and oversee the delegation of duties, supporting a team-focused and motivational environment.
- Guest Services Coordination: Coordinate and monitor pre-booked supplementary services, including transportation, car hire, food packs, spa bookings, and more, ensuring seamless service for guests.
- Briefings and Communication: Conduct daily briefings to review house counts, business forecasts, appointments, and other relevant activities, ensuring the team is well-informed and queries are promptly addressed.
- Revenue Generation: Collaborate closely with the Sales Team to manage revenue streams, control business flow, and optimise yield in order to achieve revenue targets.
- Client and Vendor Relations: Respond promptly to leads, negotiate, and follow up with new and existing clients to secure bookings and maintain strong business relationships.
- Continuous Improvement: Regularly assess current systems and procedures, proposing improvements to enhance effectiveness and efficiency.
- Training and Development: Ensure the team's training needs are met, collaborating with management to provide internal or external development opportunities as needed.
Qualifications, Skills, and Attributes
- Experience: Minimum of 3 years in a reservations or similar role, ideally within the hospitality sector.
- Language Skills: Fluent English is required, and Maltese language proficiency is an asset.
- Communication Skills: Strong verbal and written communication skills, with the ability to liaise effectively with clients, team members, and other departments.
- Interpersonal Skills: Excellent leadership and teamwork abilities, fostering a positive and collaborative work environment.
- Technical Skills: Proficient in Property Management systems and familiarity with standard hotel booking procedures.
- Organisation: Strong organisational skills to manage a high volume of bookings and data.
- Self-Motivated: Demonstrates initiative, with a proactive approach to improving department processes and achieving revenue targets.
- Problem-Solving: Effective at resolving booking and guest-related issues to ensure a positive experience.
