Job Description

As a Talent Acquisition Shared Services Associate at our organization, your responsibilities include talent and onboarding candidates, sourcing, interview schedule, reference checks, employee data management such as contract administration, pre-hire pocket and other related hire documents, while maintaining high-quality HR master and movement data and report. Ensuring data accuracy, updating records, and reporting issues to the team are crucial aspects of your role. You'll collaborate with respective stakeholders to enhance the employee experience, maintain confidentiality, and contribute to overall team goals. Additionally, you'll handle ad-hoc talent/onboarding admin processes to support operational efficiency.

Job Description

  • Facilitate employment life cycle related to Talent/Onboarding administration such as but not limited to onboarding, offer/contract administration, new starter pack/sheet, new hire registration and profile creation, when applicable.

  • Facilitate talent acquisition administration and communication from candidate screening, interview schedule/invites, test administration, reference checks and other relevant new hire/onboarding back end process.

  • Liaise with HR and Talent Acquisition teams on new hire updates and ensure proper reporting and documentation are updated accordingly

  • Responsible for document management related to recruiting/talent onboarding.

  • Maintain and update competence file and support in electronic filing system structure.

  • Maintains HR master data and movement data in the system by to ensuring high

Degree of data quality.

  • Administrating digital applications such as DocuSign and other relevant document management.

  • Ensures document archiving of all personnel-related documents in the HR

system.

  • Ensure continuous alignment and improvement of HR processes and practices across the organization.

  • Responsible for data reports, whenever applicable and relevant to scope.

  • Participate in activities related to tasks such as training, audit, and creation and review of Standard Operating Procedure, when applicable.

  • Keeps the data updated in the relevant Hiring Tool/ERP system and corrects whenever applicable data if needed.

  • Ensures data accuracy and correct flow of information to the relevant

stakeholders involved in the daily activities.

  • Perform other related tasks that may be required from time to time.

Qualifications:

  • With a Bachelors degree in Human Resources, Psychology and/or related field.

  • With at least two (2) years solid and comprehensive experience of the same capacity.

  • Has experience and knowledge of HR processes, systems and tools within the various stages of the employee lifecycle.

  • Has proven skills in managing, understanding, execution of Hiring/ERP systems and tools, database functionality and reporting.

  • Proficient in Talent/Onboarding and Employee Data Process administration/management.

Competencies:

  • Knowledge and experience in Talent and Onboarding Administration

  • Knowledge and working experience in Workday and/or Hiring/ERP system.

  • Has excellent knowledge and experience in Microsoft office systems and tools (ie. excel, word)

  • Has experience in data reporting.

  • Experience working in a multicultural/matrix and shared services environment

  • Has willingness and ability to proactively collaborate and communicate within the team and stakeholders.

  • Ability to resolve conflict with integrity and demonstrate high degree of confidentiality and negotiation skills within the scope.

  • Analytical and able to translate and communicate statistical data into action.

  • Ability to work independently as well as in a team.

  • Structured, accurate, systematic and committed to delivering within deadlines.

  • Ability to take initiative and make sound judgments and recommend decisions.

  • Result oriented mindset.

  • Has good oral and written communication skills.

  • Motivated to facilitate and contribute to the companys growth.

Work set up requirement:

  • Able to work hybrid

  • Able to work PST/EST / CET, whichever is applicable

  • Able to work PH Holiday when necessary
