Job Description
As a People Shared Services Associate at our organization, your responsibilities include talent and onboarding candidates, employee data management such as contract administration, certificate generation, benefits data administration, and archiving personnel documents in Workday, while maintaining high-quality HR master and movement data and reports. Ensuring data accuracy, updating records, and reporting issues to the team are crucial aspects of your role. You'll collaborate with respective stakeholders to enhance the employee experience, maintain confidentiality, and contribute to overall team goals. Additionally, you'll handle ad-hoc admin processes to support operational efficiency.
Job Description
Facilitate employment life cycle data management and changes such as but not limited to onboarding, contract processing, new hire registration and profile creation, job detail changes/ movements, competency/training requirements, offboarding etc.
- Facilitate talent acquisition from candidate screening, interview schedule/invites, reference checks and other relevant new hire/onboarding back-end processes.
- Facilitate time registration, and travel and bill expenses administration.
- Leave administration and other relevant employees benefit from data administration in the system.
- Responsible for document management related to courses, performance management, and training in the systems, including the issuance of employment certificates and other relevant documents.
- Maintain and update competence file and support in the electronic filing system structure.
- Maintains HR master data and movement data in the system by to ensuring high Degree of data quality.
- Administrating digital applications such as DocuSign and other relevant document management.
- Ensures document archiving of all personnel-related documents in the HR system.
- Ensure continuous alignment and improvement of HR processes and practices across the organization.
- Responsible for data reports relevant to scope.
- Participate in activities related to tasks such as training, audit, and creation and review of Standard Operating Procedure, when applicable.
- Keeps the data updated in Workday and corrects whenever applicable data if needed.
- Ensures data accuracy and correct flow of information to the relevant stakeholders involved in the daily activities.
- Perform other related tasks that may be required from time to time.
Qualifications:
- With a Bachelors degree in Human Resources, Psychology and/or related field.
- With at least two (2) years solid and comprehensive experience of the same capacity.
- Has experience and knowledge of HR processes, systems and tools within the various stages of the employee lifecycle.
- Has proven skills in managing, understanding, execution of ERP systems and tools, database functionality and reporting.
- Proficient in Talent/Onboarding and Employee Data Process management.
Competencies:
- Knowledge and working experience in Workday are an advantage.
- Has excellent knowledge and experience in Microsoft office systems and tools (ie. excel, word)
- Has experience in data reporting.
- Experience working in a multi-cultural and shared services environment
- Has willingness and ability to proactively collaborate and communicate within the team and stakeholders.
- Ability to resolve conflict with integrity and demonstrate high degree of confidentiality and negotiation skills within the scope.
- Analytical and able to translate and communicate statistical data into action.
- Ability to work independently as well as in a team.
- Structured, accurate, systematic and committed to delivering within deadlines.
- Ability to take initiative and make sound judgments and recommend decisions.
- Result oriented mindset.
- Has good oral and written communication skills.
- Motivated to facilitate and contribute to the companys growth.

Package Details
- Unused leave credits can be converted into money for a maximum of 5 days, provided at the end of the year.
- 13th-month pay calculated proportionally based on the duration of employment.
- Long Service Benefit is granted at a rate of 0.5 times your monthly basic salary per year of service, capped at a maximum of 2 monthly salaries.
- Health Maintenance Organization (HMO) coverage is available for the principal employee from the first day of employment and for one dependent after one year.
- Group Life Insurance is provided.
- Paid time off includes 10 days per year during the first year of employment, and 20 days per year starting from the second year of employment.
