Job Overview

As a Talent Acquisition Shared Services Associate at our organization, your responsibilities include interview scheduling, drafting offer letters, sending pre-hire packets and other related
hire documents, initiating background checks, and facilitating pre-boarding activities Ensuring data accuracy, updating records, and reporting issues to the team are crucial aspects of your
role. You'll collaborate with respective stakeholders to enhance the candidate experience, maintain confidentiality, and contribute to overall team goals. Additionally, you'll handle ad-hoc
processes and tasks to support operational efficiency.

Job Description

- Facilitate candidate life cycle related to Candidate Experience administration such as but not limited to offer administration, new hire packets.

- Facilitate talent acquisition administration and communication from candidate, interview schedule/invites, test administration, background checks and other relevant new hire/pre-boarding back end processes.

- Partners and collaborates with HR and Talent Acquisition teams on new hire updates and ensure proper reporting and documentation are updated accordingly
- Responsible for document management related to recruiting/talent onboarding.
- Maintains TA new hire data and movement data in the system to ensure a high degree of data quality.
- Administrating digital applications such as DocuSign and other relevant document management.
- Ensures document archiving of all candidate related-related documents in the TA system.
- Ensure continuous alignment and improvement of TA processes and practices across the organization.
- Responsible for data reports, whenever applicable and relevant to scope.
- Participate in activities related to tasks such as training, audit, and creation and review of Standard Operating Procedure, when applicable.
- Keeps the data updated and accurate in the relevant Hiring Tool/ERP system and corrects whenever applicable data if needed.
- Perform other related tasks that may be required from time to time.

Qualifications:

- With a Bachelors degree in Human Resources, Psychology and/or related field.
- With at least two (2) years solid and comprehensive experience of the same capacity.
- Has experience and knowledge of HR processes, systems and tools within the various stages of the employee lifecycle.
- Has proven skills in managing, understanding, execution of Hiring/ERP systems and tools, database functionality and reporting.

- Proficient in Talent/Onboarding and Employee Data Process administration/management.

Competencies:
- Knowledge and experience in Talent and Onboarding Administration
- Knowledge and working experience in interview scheduling tools, background check vendors, and/or working experience in any related ATS/Hiring/ERP system.
- Has excellent knowledge and experience in Microsoft office systems and tools (ie. excel, word), google workspace is a plus.
- Experience working in a multicultural/matrix and shared services environment
- Has willingness and ability to proactively collaborate and communicate within the team
and stakeholders.
- Ability to resolve conflict with integrity and demonstrate high degree of confidentiality and within the scope.
- Analytical and able to translate and communicate statistical data into action.
- Ability to work indep-endently as well as in a team.
- Structured, accurate, systematic and committed to delivering within deadlines.
- Ability to take initiative and make sound judgments and recommend decisions.
- Result oriented mindset.
- Has good oral and written communication skills.
- Motivated to facilitate and contribute to the companys growth.

Work set up requirement:
- Able to work hybrid
- Able to work PST/EST / CET, whichever is applicable
- Able to work PH Holiday when necessary
